UCF Connect Administrative Assistant I
UCF Connect Centers provide excellence in assisting students navigate the transfer process. The UCF Connect team is dedicated to assisting students become transfer and major ready when they arrive at UCF. UCF Connect Centers are located on several state partner institution campuses that participate in the DirectConnect to UCF Consortium; however, our centers can connect all students desiring to transfer to UCF with the appropriate Success Coach. This entry-level Administrative Assistant I position at the UCF Sanford Lake Mary Connect Center offers an excellent opportunity to support both prospective and current UCF students. You'll also provide vital administrative and office support to staff, faculty, and academic programs. A key aspect of the role involves building and maintaining positive relationships with important stakeholders, including transfer-sending institutions, state college partners, and transfer students. This position may be moved at management's discretion within the SSWB division to a commensurate level position as determined by the Vice President of Student Success and Well-Being or his/her designee. Responsibilities
Student Engagement & Support: Serve as the primary contact for students and visitors, managing phone calls, assisting with walk-in inquiries, and responding to general questions. Receive and accurately log student documents. Assess student needs, encourage them to connect with a UCF Connect Success Coach, and schedule their initial appointments. Provide students with information to help them prepare for their success coach meetings. Maintain strict professional discretion and confidentiality regarding all student records and information. Communication & Documentation: Execute the standardized contact strategy and communication plan. Accurately document and track all student interactions using designated software platforms and other required mechanisms. Administrative & Operational Support: Provide comprehensive administrative and clerical support to the UCF Transfer Center. Assist with scheduling meetings and appointments for staff and faculty. Manage office logistics, including making copies, distributing mail, organizing statistical data, and assisting with room schedules and changes for classes, meetings, and events. Support staff and student ID processes. Assist with budgeting, purchasing, automotive and facility maintenance requests, and managing office supplies and related expenditure forms. Maintain bulletin boards, workrooms, and the overall office suite. Ensure the dissemination of updated UCF marketing materials. Event and Outreach Assistance: Support the preparation and execution of meetings, functions, and events. Participate in recruitment outreach and activities, including phone calls, emails, classroom visits, information tables, Open Houses, Degree Expos, Welcome Back events, and other campus/community events. Other duties as assigned. Minimum Qualifications: High School Diploma or Equivalent and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Preferred Qualifications: High level of customer service and interpersonal skills. Proficient in MS Office (Outlook, Excel, Word). Ability to work collaboratively and develop effective relationships with key stakeholders. Prefer candidate with the ability to communicate in both English and Spanish in order to work effectively with customers and team members. Knowledge of Workday, PeopleSoft and Teams a plus. The most successful candidates may possess the following qualities: Excellent written and oral communication skills. Excellent organization and multi-tasking skills with high level of attention to detail; ability to work under pressure in high-traffic environment with deadlines, goals and time limitations.
