Administrative Associate
YouCubed, a Stanford Graduate School of Education center, seeks a full-time Administrative Associate to join our team. The Administrative Associate will provide high-level administrative support to the Faculty Director and Executive Director of YouCubed. About Us: YouCubed is housed at Stanford Graduate School of Education and provides research-based resources for teaching and learning mathematics. Co-founded in 2013 by Professor Jo Boaler and Cathy Williams, YouCubed conducts research, designs curriculum, and develops professional learning offerings centered around creative mindset mathematics. YouCubed's work transforms insights from research in neuroscience and mathematics education into practical classroom resources. The YouCubed team collaborates with schools and districts across the country to bring inspired math learning to classrooms, including playing a key role in shaping mathematics education policy decisions across the US and the world. Beyond our work with educators and policymakers, YouCubed supports Stanford graduate students through research opportunities that prepare the next generation of educational leaders and math education scholars. Position Summary: Reporting to the Executive Director and Faculty Director of YouCubed, the Administrative Associate will work with the rest of the YouCubed team members supporting the development of resources, and professional learning opportunities in mathematics education. YouCubed is a Stanford research center that provides free research-based resources through a website accessed by millions of educators, and professional development opportunities delivered through in-person and online offerings. The position requires managing financial accounts and working with the public, supporting events through administrative and financial work. The person needs to like working individually, with team members, with research teams, and with educators around the world. Job Purpose: Provide complex administrative or operational support with minimal supervision. May be responsible for overseeing other administrative staff or subordinates. Core Duties: Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature. Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget. Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial research editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites. Plan and schedule calendar(s) without prior consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies. Create complex reports and spreadsheets which may utilize specialized software and systems. Make recommendations based on reports. Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection. Coordinate complex office moves. Plan and coordinate routine remodeling and renovations. May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input. Minimum Requirements: Education & Experience: High school diploma and six years of administrative experience, or combination of education and relevant experience. Knowledge, Skills and Abilities: Advanced computer skills and demonstrated experience with office software and email applications. Demonstrated success in following through and completing projects. Excellent organizational skills and attention to detail. Excellent verbal and written communication skills. Excellent customer service and interpersonal skills. Ability to prioritize, multi-task, and assign work to others. Ability to take initiative and ownership of projects. Ability to routinely and independently exercise sound judgment in making decisions. Physical Requirements: Constantly perform desk-based computer tasks. Frequently sitting. Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
