What this job involves: We are seeking a highly organized and service-oriented Facility Coordinator to join our dynamic team. This role is pivotal in delivering a best-in-class workplace experience by providing outstanding customer service, supporting facilities and event logistics, and managing a high-volume mailroom operation. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment. Your day to day: Customer Service & Workplace Experience: Serve as a point of contact for all employees, visitors, and vendorsdelivering a warm, professional, and solutions-focused experience. Respond to workplace requests and inquiries with efficiency and a high level of service. Maintain a welcoming and clean environment. Facilities Support: Partner with the Facilities Manager to ensure the office is running smoothly, including coordination of repairs, maintenance, and vendor visits. Conduct regular walkthroughs of the space to identify issues or areas for improvement. Manage inventory of office and pantry supplies, placing orders as needed and ensuring timely restocking. Event Support: Assist in the planning, coordination, and execution of internal events, meetings, and employee engagement activities. Set up and break down event spaces, including room configuration, supplies, catering, and AV needs. Provide day-of support to ensure events run smoothly and deliver a positive attendee experience. Mailroom & Shipping Operations: Oversee the daily operations of a busy mailroom, including receiving, sorting, scanning, and distributing incoming mail and packages. Process sensitive documents with a focus on confidentiality, compliance, and accuracy. Manage outgoing shipments, coordinating with couriers and ensuring timely and accurate deliveries. Maintain accurate tracking and logs of packages and mail activity. Provide assistance with large or specialty shipments as needed. Sound like you? To apply you need: Qualifications: 2+ years in a workplace, facilities, hospitality, or office support role. Demonstrated commitment to providing excellent customer service. Strong communication and interpersonal skills; ability to interact with all levels of an organization. Highly organized with the ability to manage multiple tasks and priorities simultaneously. Comfortable lifting boxes and performing physically active tasks (up to 50 lbs). Proficient in Google Suite, Microsoft Office Suite, and workplace tools such as Outlook, Teams, or Slack. Experience with mailroom equipment and shipping platforms (FedEx, UPS, USPS) is a plus.
