Project Coordinator
Mission: The Project Coordinator at Koch Finishing Systems plays a crucial role in ensuring the successful execution of multimillion-dollar projects. By maintaining accurate schedules, managing budgets, and facilitating communication across engineering, field services, fabrication shops, subcontractors, and purchasing, the Project Coordinator supports the seamless delivery of projects. Our mission is to enhance project efficiency and effectiveness through meticulous coordination, proactive problem-solving, and collaborative teamwork, driving operational excellence and client satisfaction. Essential Functions Assist Project Managers in coordinating all aspects of multimillion-dollar projects, ensuring alignment with project goals and timelines. Maintain and update project schedules using tools such as Oracle P6, ensuring accurate tracking of project milestones and deadlines. Monitor and manage project budgets, providing regular updates to Project Managers and identifying potential cost-saving opportunities. Interact with subcontractors to coordinate project tasks, resolve issues, and ensure that work is completed to specification. Collaborate with the purchasing department to track material requirements and ensure that all necessary materials are available when needed. Utilize ERP systems, Excel, Procore, and Microsoft Office to manage and report on project data, ensuring accuracy and completeness. Prepare and present reports on project status, including budget, schedule, and resource allocation. Support change order management and documentation. Organize and maintain project documentation in shared folders and systems. Coordinate meetings and assist with agendas, minutes, and action item follow-up. Interface with internal departments (engineering, operations, finance, procurement) to gather project updates. Competencies Analytical Thinking: Ability to analyze complex data, identify trends, and make informed decisions. Time Management: Strong ability to prioritize tasks, manage time effectively, and meet tight deadlines. Communication: Excellent verbal and written communication skills, with the ability to convey information clearly and concisely to diverse stakeholders. Physical, Mental and Environmental Requirements: Ability to sit or stand for extended periods while working on a computer or attending meetings, with occasional lifting of up to 25 pounds. Capacity to travel to project sites, including walking on uneven terrain, and adapt to exposure in manufacturing and construction environments. High concentration required for managing detailed project tasks, prioritizing multiple projects, and working under pressure to meet deadlines. Strong problem-solving skills with quick decision-making in dynamic situations. Adaptability to work in a fast-paced environment, both independently and collaboratively, often requiring coordination across departments and external partners. Travel - Less than 25%, travel to job sites and other Koch locations is required. Required Education, Experience, and Training: Bachelor of Science in Mechanical Engineering, Construction Management, or a related field is preferred. Minimum of 1 year of experience in a project coordination role, preferably within the manufacturing or construction industries.
