Administrative Assistant

The Administrative Assistant will be responsible in enrolling student parents and students into the program. This position is to support the Department of Education classes. Responsibilities include organizing and scheduling enrollment-related appointments, planning enrollment meetings, writing and distributing emails, memos, letters, and forms related to student enrollment, assisting in the preparation of enrollment reports, developing and maintaining a filing system for student-parent and children's records, updating and maintaining child care policies and procedures, ordering supplies, maintaining contact lists, submitting and reconciling receipts, assisting with family orientation sessions, recruitment and outreach efforts, and supporting family engagement activities. The role also involves maintaining and updating program and enrollment information on childcare websites, manuals, and other platforms. Other duties include managing enrollment processes, intake documentation, and student/family communications, providing administrative support, ensuring customer service and communication, paying attention to detail, maintaining confidentiality, collaborating with team members, and being proficient in technology and event coordination. Qualifications include a high school diploma or equivalent, prior experience in a child care, educational, or non-profit setting, knowledge of child care licensing regulations, enrollment requirements, and program eligibility, ability to prioritize and manage multiple tasks, strong interpersonal skills, and bilingual skills (preferred).
