OVERVIEW: The Accounts Payable Vendor & P-Card Specialist is responsible for managing the vendor setup process and maintaining it, ensuring compliance with internal policies and external regulatory requirements. This includes verifying tax identification numbers, maintaining up-to-date vendor insurance and captain license records, and assisting with P-Card administration. The specialist plays a key role in supporting internal stakeholders and maintaining accurate documentation in a timely and professional manner.KEY RESPONSIBILITIES: Enter and update vendor information in accordance with company policy.Notify internal requesters of vendor setup completion in an accurate, timely and professional (ACT) manner.Track and update insurance certificates and captain's licenses; maintain organized spreadsheets for both.Place vendors on hold if required insurance documentation is not received.Verify vendor Tax Identification Numbers (TINs) through the IRS website and validate business status via state corporation websites.Maintain organized records of certificates and licenses in accordance with ACT standards.Assist in administering and auditing P-Card program, providing support to cardholders and liaising with financial institutions as required.Provide excellent customer service to our operational business partners.Perform additional duties as assigned.KEY RESULT AREAS:Timely and accurate entry and maintenance of vendor records.Proper documentation and follow-up on expiring or missing insurance and license informationStrong and proactive communication with relevant departments.Consistent adherence to documentation and communication standards in an ACT (Accurate, Complete, Timely) manner.*MarineMax and its subsidiaries uses E-Verify, an Internet-based system, to confirm the eligibility of all newly hired employees to work in the United States.
