Sponsored Research Administrator
Florida Atlantic University is seeking a Sponsored Research Administrator - Boca Raton, FL. The Sponsored Research Administrator will report to the Associate Director for Research Administration and will work with investigators conducting basic, clinical, and translational research. The primary goal of this position is to support the timely, effective, and efficient functioning of sponsored funding. In addition, the candidate will participate in other strategic initiatives and in the development and implementation of procedures for the program/service area. Summary of Responsibilities: Serve as primary point of contact for faculty, department administrators, and staff pertaining to all pre- and post-award duties. Update pre- and post- award shared trackers on a regular (weekly minimum) basis. Provide funding announcement guidance, including interpretation of university and sponsor policies and requirements. Prepare and review all proposal content (including budget development) for accuracy and adherence to requirements. Enter proposals into both the university's internal grants management system (Novelution) and sponsor's systems, including but not limited to ASSIST, DOD, grants.gov, ProposalCentral, and research.gov. Oversee new award set up, including review of NOAs, personnel effort, compliance approvals, or cost share and ensure that the principal investigator/department staff understands any unique award requirements. Assist with Just In Time requests, including the creation and review of personnel Other Support, budget revisions (if applicable), and compliance approvals (IACUC, IRB, etc.). Monitor spending on awards for compliance with federal, university, and sponsor regulations. Forecast expenses and provide monthly as well as ad hoc financial reports to College and faculty. Ensure research compliance in areas related to each project, including conflict of interest, IRB, IACUC, EH&S, and export control. Advise and assist with hiring new grant personnel and annual renewals, including contract review, as needed. Assist with progress report submissions, re-budgeting needs, and no-cost extension requests. Prepare and submit payroll accounting adjustments, journal entries, accounting adjustments, or budget amendments as necessary for post-award management. Assist with quarterly effort reporting and certification of grant-funded personnel. Track grant activity and provide reports to College leadership as needed. Serve as liaison to the Office of Sponsored Programs, Research Accounting, and other relevant offices within the University. Minimum Qualifications: Master's degree from an accredited institution in an appropriate area of specialization; or bachelor's degree from an accredited institution in an appropriate area of specialization and two years of experience required. Preferred Qualifications/Skills: Degree in Business Administration or Accounting and two years of experience in sponsored research administration. Ability to interpret, communicate and apply financial, regulatory, and administrative guidelines of funding opportunity announcements. Strong accounting, financial and analytical skills. Demonstrated attention to detail, excellent problem-solving skills, and ability to analyze financial data. Excellent organizational, interpersonal, verbal communication, and writing skills. Proficiency in Microsoft Word, Excel, and Adobe. Sound knowledge of federal and NIH policies. Able to work independently with minimal supervision and prioritize multiple assignments in a time-sensitive environment. Experience with Workday financial management system. Salary: $55,000 - $85,000 per year.
