We’re seeking a highly organized, proactive, and resourceful Executive Assistant to provide dedicated support to the CEO of Pereira O’Dell and the Managing Partner of Silverside AI. This role involves managing complex calendars, coordinating travel, processing expenses, and supporting key priorities across both organizations. The EA will also help organize events at the San Francisco office and oversee light administrative duties (working closely with property management for facility needs).

Key Responsibilities Manage and organize the dynamic calendars for both executives, fielding internal and external requests, including complex scheduling, rescheduling, and prioritizing commitments. Ability to manage arrangements in multiple time zones and including international. Provide support for presentations including deck preparation, conference room set up and other support to the CEO/MD as needed. Proactively keeps the executives well informed and manage follow up to key meetings. Coordinate domestic and international travel arrangements, ensuring smooth logistics and detailed itineraries. Process and track expense reports for both executives in a timely manner. Act as the first point of contact for executives, ensuring timely follow-up and effective communication. Provide administrative oversight of the SF office, including facilities management as the first point of communication with building management and other vendors. Because of the Executive Support you need to be reachable outside of office hours should the CEO and MD have any emergencies regarding travel or client meetings.

Qualifications 8+ years of experience as an Executive Assistant supporting C-suite executives, across multiple organizations or business units. You are at ease yet professional with senior leadership and executives, both internally and externally. You are a strategic partner in the work that you do at any scale, from mastering calendaring puzzles to being a sounding board for your executive. You create clarity for others by delivering the right info, at the right time, through compelling communication. You proactively anticipate the broader impact of everyday decisions & think through the logistics to create efficiencies. You are agile at a moment’s notice, acting in ambiguity while exercising good judgment and discretion. You know how to prioritize and multitask against multiple projects and deadlines while having a strong attention to detail and care for the quality of execution. Strong organizational skills and the ability to manage competing priorities with a calm, solutions-oriented approach. Excellent written and verbal communication skills. Strong proficiency in MS teams and Outlook, Google Workspace (Calendar, Docs, Sheets, Slides), Zoom and expense/travel management tools. Event planning experience required. High level of discretion, professionalism, and proactive problem-solving skills.

Physical Demands Occasional event or meeting set-up (moving chairs, tables). May be required to lift objects up to 50 lbs.

Salary & Benefits The base salary range for this role at the time of posting is $75,000 to $100,000. The salary an employee or prospective employee is paid within this range will depend on factors such as but not limited to: internal compensation of current employees in similar roles, market considerations, budgetary considerations, level of responsibility, background, experience, and qualifications.
