Key Responsibilities: Greet guests and internal visitors with courtesy and professionalism; offer refreshments and manage parking validations Promptly announce and coordinate guest arrivals with relevant team members Maintain and monitor conference room calendars; assist with meeting scheduling and logistics Set up and support video and audio conferencing, including Level 1 AV troubleshooting in collaboration with the IT helpdesk Coordinate catering for internal meetings, ensuring timely setup, service, and cleanup Keep all guest-facing areas—including the lobby, beverage station, and conference rooms—clean, organized, and presentation-ready at all times Maintain a tidy and professional reception workspace Manage internal visitor announcements and assist with various administrative and office support tasks as needed Answer and direct incoming phone calls in a courteous and efficient manner Prepare outgoing mail and FedEx shipments Coordinate transportation for guests and employees Support courier requests and office supply needs Assist with onboarding logistics such as new hire photos and business card orders Qualifications: Previous administrative experience in the oil and gas, commodities, or commercial industry Proficiency with Microsoft Teams and basic AV equipment. Excellent communication and interpersonal skills. Professional appearance and demeanor. Strong organizational skills and attention to detail. Ability to multitask and adapt in a fast-paced environment.
