Front Desk & Visitor Coordination

  • Greet and assist visitors, vendors, and employees in a courteous and professional manner.
  • Answer and direct phone calls; respond to general inquiries.
  • Maintain a clean, organized, and welcoming reception area.
  • Manage visitor sign-in/out procedures and issue badges in accordance with safety protocols.
  • Receive, sort, and distribute incoming mail and packages; coordinate outgoing shipments.

People Services / HR Support

  • Assist with new hire onboarding, including preparing orientation materials and setting up workstations.
  • Coordinate interview scheduling and candidate communication.
  • Maintain and update personnel files in accordance with company policies and compliance requirements.
  • Enter and maintain employee data in HR systems and spreadsheets.
  • Assist with timekeeping data collection and coordination for temporary or contract employees.
  • Help prepare internal communications, newsletters, and employee recognition materials.
  • Support planning and coordination of employee events and engagement activities.

General Administrative Support

  • Prepare and edit correspondence, reports, and other documents.
  • Maintain office supply inventory and place orders as needed.
  • Provide administrative assistance for meetings, including scheduling, agendas, and note-taking.
  • Assist other departments with administrative projects as assigned.


WHAT YOU WILL NEED TO BE SUCCESSFUL:

  • High school diploma or equivalent; additional training in business, HR, or office administration preferred.
  • 2+ years of administrative, receptionist, or HR support experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication skills.
  • Professional demeanor and excellent customer service skills.
  • High level of confidentiality and discretion with sensitive information.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
