Front Desk & Visitor Coordination
- Greet and assist visitors, vendors, and employees in a courteous and professional manner.
- Answer and direct phone calls; respond to general inquiries.
- Maintain a clean, organized, and welcoming reception area.
- Manage visitor sign-in/out procedures and issue badges in accordance with safety protocols.
- Receive, sort, and distribute incoming mail and packages; coordinate outgoing shipments.
People Services / HR Support
- Assist with new hire onboarding, including preparing orientation materials and setting up workstations.
- Coordinate interview scheduling and candidate communication.
- Maintain and update personnel files in accordance with company policies and compliance requirements.
- Enter and maintain employee data in HR systems and spreadsheets.
- Assist with timekeeping data collection and coordination for temporary or contract employees.
- Help prepare internal communications, newsletters, and employee recognition materials.
- Support planning and coordination of employee events and engagement activities.
General Administrative Support
- Prepare and edit correspondence, reports, and other documents.
- Maintain office supply inventory and place orders as needed.
- Provide administrative assistance for meetings, including scheduling, agendas, and note-taking.
- Assist other departments with administrative projects as assigned.
WHAT YOU WILL NEED TO BE SUCCESSFUL:
- High school diploma or equivalent; additional training in business, HR, or office administration preferred.
- 2+ years of administrative, receptionist, or HR support experience.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong verbal and written communication skills.
- Professional demeanor and excellent customer service skills.
- High level of confidentiality and discretion with sensitive information.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
