WHAT DO WE DO?
CHSI is a private, non-profit organization established in 1973 to serve the health needs of migrant & seasonal farm workers and their family members. Today, CHSI has expanded its services and provides mental & physical healthcare to all individuals in our communities. Our services are provided on a more affordable sliding fee scale to those who are underinsured or uninsured. We also accept ND and MN Medicaid, Medicare, and most private insurance plans. We currently operate four nurse-managed clinics, two mobile medical units, and two victim advocacy program centers in Minnesota & North Dakota.
WHO ARE WE LOOKING FOR?
We are searching for a Full-time Accounts Payable Coordinator/Payroll Specialist to join our Willmar, MN team. In an Accounts Payable Coordinator/Payroll Specialist role at CHSI, you will be responsible for ensuring accurate and timely processing of accounts payable and payroll functions for CHSI. This role manages vendor payments, employee reimbursements, and payroll processing in compliance with organizational policies, federal and state regulations, and FQHC financial standards. The AP Coordinator / Payroll Specialist collaborates closely with the finance team, HR, and other departments to ensure accuracy, proper documentation, and timely financial transactions.
DUTIES:
Accounts Payable

  • Process all invoices, check requests, and expense reimbursements accurately and in a timely manner.
  • Verify coding, approvals, and supporting documentation for all payables according to CHSI policies.
  • Manage vendor relationships, resolve discrepancies, and respond to vendor inquiries.
  • Reconcile vendor statements and prepare weekly/monthly AP aging reports.
  • Prepare and process payments via checks, ACH, and other electronic methods.
  • Maintain accurate AP files, ensuring documentation is complete for audits and reporting.
  • Assist with preparation and issuance of annual 1099 forms.
Payroll
  • Process bi-weekly payroll, including time entry verification, deductions, and adjustments.
  • Maintain accurate employee payroll records and respond to payroll-related inquiries.
  • Ensure payroll tax compliance and assist with quarterly and annual payroll tax filings.
  • Coordinate with HR to ensure accurate new hire, termination, and change data.
  • Reconcile payroll reports and resolve discrepancies in a timely manner.
Administrative & Compliance
  • Assist with month-end and year-end closing activities, including AP and payroll reconciliations.
  • Ensure compliance with federal, state, and local laws related to payroll and accounts payable.
  • Support the finance team with audits, budget preparation, and reporting.
KNOWLEDGE, SKILLS, and ABILITIES:
  • Knowledge of payroll processes, timekeeping systems, and payroll tax compliance.
  • Familiarity with accounts payable workflows, expense policies, and vendor management.
  • Strong attention to detail, accuracy, and organizational skills.
  • Ability to maintain confidentiality of employees and financial data.
  • Proficiency with accounting software (e.g., QuickBooks or similar), Microsoft Excel, and payroll systems.
  • Effective communication and problem-solving skills.
  • Commitment and alignment to CHSI's mission, vision, and values.

PHYSICAL ABILITIES
  • Ability to bend and crouch occasionally, sit continuously, and stand or walk frequently.
  • Ability to lift up to 50 pounds occasionally.
  • Ability to use hands/arms, feet/legs for repetitive fine to large motor skill movements.
REQUIRED QUALIFICATIONS:
  • Minimum of 2 years of experience in accounts payable and payroll processing.
  • Knowledge of federal and state payroll regulations.
  • High school diploma or equivalent (Associate's degree in Accounting or Finance preferred).
  • Experience in healthcare or nonprofit settings is a plus.
