JOB DESCRIPTION And RESPONSIBILITIES
The Accounting Specialist works under the direction of the Accounts Receivable Manager and the Director, Corporate Operations to help manage client invoicing, payments, deposits and accounts receivable aging. Specific responsibilities include:
- Prepare timely and accurate client invoices monthly.
- Prepare supporting documentation (time, expenses, receipts) for client invoices.
- Assist with employee time entry and manager approval tracking.
- Maintain accounts receivable records to ensure aging is up to date.
- Monitor incoming payments and ensure they are applied correctly.
- Resolve discrepancies between client payments and invoices.
- Attend monthly market and service line billing summary meetings.
- Assist with report preparation for monthly billing summary meetings.
- Assist with month-end close functions.
- Provide backup and assistance for various AP/AR duties.
- Assist with other support tasks and projects as assigned.

- High school graduate. Associates or Bachelors degree in Accounting, Finance, Business administration, or related field is preferred.
- Previous accounting, A/P and A/R experience required.
- Proficient in Microsoft Office applications, particularly Excel. Experience in QuickBooks, Concur, Bill.com, Fathom, Power BI, or other web-based accounting, time-entry, expense and reporting software preferred.
