Administrative Assistant

To support our extraordinary teams who build great products and contribute to our growth, we're looking to add an Administrative Assistant located in Columbia, SC. Reporting to the Sr. Facilities Manager. The Administrative Assistant role involves performing clerical functions and confidential administrative support, relieving management of routine administrative activities. Providing administrative and clerical support to the facilities management department. Here is a glimpse of what you'll do: Coordinates and may prioritize manager's schedule and maintains calendar appointments, meetings and travel itineraries and coordinates related arrangements. Coordinating maintenance schedules, communicating with vendors, and assisting with facility-related projects. Handle customer service inquiries, manage meeting room schedules, and ensure the overall safety and functionality of the facility. Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer. Organizing facility-related documents, maintaining records of maintenance and repairs, and tracking inventory. Assisting with the planning, coordination, and execution of facility-related projects. Responding to inquiries from staff and visitors, resolving facility-related issues, and ensuring a positive experience for users of the facility. Tracking and managing supplies, ordering new materials, and ensuring adequate stock levels for facility operations. Assisting with budget preparation, tracking expenses, and managing invoices related to the facilities department. Handles details of a highly confidential and critical nature. Organizes and maintains file system, and files correspondence and other records. Answers and screens manager's telephone calls, gives information to callers and arranges conference calls. May respond to inquiries about company products using a standard script and procedures.
