Summary: The Advisor is responsible for advising students in the Washington Semester Program (WSP). This position counsels and provides resources and academic support for students regarding academic and student life experience. This position also provides support for immigration processes in conjunction with other University staff. The advisor provides proactive support for students while they are attending American University to ensure they are experiencing well-run and enriching programs. This position works as the liaison with advisors and relevant units at the University giving substantial attention to these connections for the purposes of better assisting WSP students. Essential Functions
1.) Academic Program and Student Services Support Coordinates pre-arrival information and responds to questions regarding housing, billing, meal plans, health insurance, immunization, scholarships, AU services and other aspects of AU resources and student life. Monitors individual cohorts' program-sponsored online group and posts relevant information as appropriate. Partners with colleagues to provide direct support to students; works with department representatives across campus (Counseling, Academic Support, financial aid, and others as needed) to ensure student needs are met. Plans international student orientation and leads sessions on cultural adjustment and work authorization requirements. Collaborate with colleagues and ISSS to facilitate the student work authorization process. 2.) Student Advising Provide day-to-day academic advising for students to ensure program requirements are met. Advises students, partner representatives, and faculty on registration, including course options, add/drop deadlines, etc. throughout all phases of the Program. Provides individual and virtual advising sessions during pre-arrival and registration processes. Interprets and/or clarifies Program, School, and University information, procedures, policies, and academic regulations and uses this information to assist students with appropriate course selection, registration changes, and credit transfer. Coordinates submission of transcript requests. Maintains student files and course data. 3.) Immigration and Housing Coordination Collaborates with International Student & Scholar Services to complete documentation for student visas and the mailing of final immigration documents. Coordinates students into housing using internal or third-party services as appropriate. Coordinates with AU Housing or external housing provider on housing payments
if they are paying through third party system or through the office of the registrar or their own home university. Individually works with students to discuss these options. Oversees contracts with external vendors as appropriate and ensures payments are made. 4.) Curriculum and Course Scheduling In consultation with the Chair of the Washington Semester Program and the Director of WSP, creates and schedules WSP courses as per Registrar protocols. Communicate the semester course schedule to the SPA Faculty and Budget teams per established timeline to ensure all faculty are appointed and paid in a timely manner. 5.) Student Billing Position Helps manage scholarship information and awards, compiles registration and credit-hours enrollment data for student billing. 6.) Other Duties as Assigned Position Type/Expected Hours Of Work: Full-Time. 35 hours per week. Hybrid, 3-4 days on campus. Salary Range: $55,000 - $62,000 annually. Required Education and Experience: Bachelor's degree. 2-4 years of relevant experience in academic administration in one or more of the following areas: advising, admission, or registration. Preferred Education and Experience: Master's degree. 3-5 years of relevant experience. Travel Required: Occasionally after hours work to support special programming.
