The candidate must be able to handle multiple organizational needs and priorities in a calm, professional, confidential and confident manner while maintaining a positive attitude. The successful candidate will be a highly self-motivated individual with strong organizational, interpersonal, and forward-thinking skills and an overall highly professional demeanor. The candidate must be a team player and eager to work with, support and back up administrative assistants in the area. Knowledge of Marathon's corporate structure and business activities is helpful. Key Responsibilities

Carries out a variety of administrative routines to ensure the efficient operation of the office and that the executive is afforded optimum utilization of time and effort. Administrative duties include setting up meetings, scheduling conference rooms, ordering supplies, entering time and attendance, and updating organizational documents. Assists and coordinates special projects including but not limited to: submittal of both draft and final version of Board materials, assisting with quarterly earnings calls, assisting other administrative assistants and executives, and covering during vacations. Maintains proper flow of communications. Reads, selects, and passes mail (whether hard copy or electronic) to executive, forwards remaining mail to other offices. Composes executive's general correspondence, frequently on own initiative. Answers executive's telephone to take and relay messages or refers calls to other individuals and provides some information to authorized personnel in response to inquiries when requested. Works closely with other departments. Interacts with both external and internal contacts through written, electronic, telephone and face-to-face communication professionally. Schedules and reminds executive of meetings and appointments; provides executive with related material; maintains current itinerary on a daily, weekly, and monthly basis. Completes arrangements for transportation of executive and associates, coordinates arrangements for meetings conducted by executive, and gathers necessary materials. Establishes and maintains files pertinent to executive's activities; maintain related manuals and reference books. Assures timely completion of various reports reflecting the activities of the executive's organization. Prepares expense reports timely. Education and Experience

High school diploma or equivalent 10+ years of related experience, with executive admin experience preferred. Skills

Strong verbal and written communication skills Advanced Microsoft Office

Outlook, Word, PowerPoint, Excel Excellent interpersonal skills and a preference for collaboration, including proven success working with others; ability to work with high profile individuals internally and externally Ability to work in a fast-paced and sometimes unpredictable environment; proactive, works well under pressure and tight deadlines; proven ability to juggle multiple projects Proven analytical and problem-solving abilities Highly organized, detail-oriented, and self-motivated Flexible and willing to help out when requested Location: Findlay, Ohio
