The AP Specialist will oversee the processing of vendor invoices for the assigned division of the Company. Will gain an understanding of the Organization's structure, business units, GL Accounts, and vendor relationships to ensure timely and accurate processing of vendor invoices. Will work directly with outside vendors as well as internal parties to receive, code, apply, and process AP. Will work with the Accounting Supervisor for any escalations that require additional information or research. Essential Duties & Responsibilities: Responsible for Accounts Payable functions Process invoices for payment in an accurate and timely manner Monitor and resolve discrepancies and issues Review vendor statements and follow up on open payables Proactively communicate with Vendors, Operations, & Accounting Supervisor to resolve issues Analyze and audit invoices and make necessary adjustments before payment Issue payment to Vendor by submission of wire transfers, ACH, check and some foreign currency Image and index invoices Assist with special projects as needed To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. A.) or equivalent from two-year college preferred. Minimum one (1) year experience and/or training supporting accounting functions. Knowledge, Skills, and Abilities: Strong attention to detail and accuracy, ensuring proper handling of invoices, payments, and financial records with minimal supervision. Effective time management and adaptability, able to meet deadlines, manage shifting priorities, and handle multiple tasks throughout the workday. Clear written and verbal communication skills, with the ability to interpret vendor documents, write routine reports, and communicate professionally with internal and external stakeholders. Basic mathematical proficiency, including the ability to calculate discounts, percentages, and reconcile figures accurately. Problem-solving and reasoning ability, capable of identifying discrepancies, interpreting instructions, and resolving issues within AP processes. Collaborative and professional demeanor, fostering positive relationships with vendors, team members, and other departments. Proficiency in Microsoft Office, especially Excel and Outlook, with the ability to learn and use financial systems and AP software effectively.
