Licensed Real Estate Administrative Assistant

Job Type: Full-Time Pay: $40,000 -- $50,000 per year Work Location: In-person Schedule: Flexible 9AM-5PM, Sun., Mon., Tues., Wed, Thurs., Fri., Sat. Position Overview: We are seeking a highly organized and detail-oriented Licensed Real Estate Administrative Assistant to join and support our real estate team. The ideal candidate will hold a valid Ohio real estate license and bring strong administrative, communication, and customer service skills. This role combines office management responsibilities with real estate-specific duties, including managing transactions, coordinating with clients, facilitating showings, and ensuring compliance with all local and state regulations. All business, leads, and transactions will funnel through the GSRE Team, whether sourced from the Licensed Assistant's own network and efforts or provided through the team's systems and marketing. Key Responsibilities: Provide comprehensive administrative support to the GSRE Team. Manage and track real estate transactions from contract to closing. Draft, edit, and maintain real estate documents such as listing agreements, purchase contracts, and disclosures. Schedule and coordinate showings, inspections, and meetings. Maintain and update CRM software with client and transaction details. Serve as a point of contact for clients, agents, lenders, attorneys, and other parties. Ensure all real estate files are complete and compliant with state and brokerage regulations. Assist in creating and distributing marketing materials (flyers, open house brochures, social media content, etc.). Coordinate client follow-ups and deliver excellent customer service. Manage incoming calls, emails, and other communications. Field and respond to inquiries from lead platforms such as Zillow.com. Qualifications: Active Ohio real estate license (required). 2+ years of experience in real estate administration or a related field (preferred). Proficiency in Microsoft Office Suite, CRM platforms, and MLS systems. Exceptional organizational and multitasking skills. Strong written and verbal communication abilities. Ability to work independently and collaboratively within a team. Knowledge of real estate procedures, contracts, and terminology. Preferred Skills: Experience with transaction management software (e.g., Dotloop). Marketing and social media experience. Ability to self-learn and problem-solve effectively.
