· Be responsible for knowing and enforcing rules and instructions concerning general Building operations, I.e. emergency situations, moves and access and key control as specified in the Front Desk Manual.
· Contact maintenance personnel, police, fire, or Gas Company in the event of an emergency.
· Provide information courteously and respectfully to owners, residents, guests, visitors and contractors. Ensure guests, and contractors register and are announced before leaving the desk area.
· Answer telephone and record messages as required.
· Assist in the processing of work orders upon resident request and input order into Concierge Plus system.
· Maintain control of Emergency and Courtesy Key Cabinets, dispense keys as needed and record to whom Issued.
· Maintain Resident Information, Incident, Key Control, Exercise and Guest Logs as required.
· Properly process office mail, oversized mail, UPS, Fed EX and other deliveries that come to the Front Desk utilizing the Concierge Plus Notification. Follow-up with resident if any package is not picked up within 5 days.
· Frequently observe CCTV monitors and report any unusual observations to the appropriate party.
· Provide shift update to oncoming desk clerk. Update clerk about contractor work in process,' new management memos, and any situations, unresolved or in process.
· Communicate with Management anything that may affect or compromise the Integrity of the Building, residents, or staff. Keep Front Desk supplied with necessary forms
· Provide residents with Suggestion/Comment and Incident Forms and all other forms as needed.
· Assist in training new personnel
· Process resident extermination requests to ensure they are Included on the weekly Pest Control Service List. Provide exterminator with residents' keys on Service List.
· And all other duties as assigned by Management.
