Optimum Management, a fast-growing management consulting firm, is seeking a highly organized, detail-oriented Administrative Support Specialist to provide support to our executive leadership team. This is a hands-on role where you will work directly with the senior leaders to ensure smooth daily operations and client service delivery. If you have QuickBooks experience, excellent organizational skills, and the ability to handle sensitive information with discretion, this is a great opportunity to learn, grow, and make an impact. About the Role As an Administrative Support Specialist, you will help manage calendars, track deadlines, handle bookkeeping tasks, prepare professional documents, and maintain organized systems. You will serve as a communication link between internal teams, clients, and vendors, while ensuring projects stay on track and contractual obligations are met. This role is ideal for someone with humility, emotional intelligence, and a willingness to learn from seasoned professionals, while consistently delivering high-quality work. Key Responsibilities Provide administrative and organizational support to the senior leadership team. Manage calendars, deadlines, and task lists. Maintain organized digital and physical filing systems. Perform QuickBooks entries, invoice tracking, and expense reporting. Draft, edit, and proofread correspondence, and reports. Coordinate communications with clients, vendors, and internal teams. Track project milestones and follow up on action items. Handle confidential and sensitive business information with discretion. Assist with customer service and client inquiries as needed. Required Qualifications Strong organizational skills and attention to detail. Reliable attendance and consistent work ethic. Ability to follow instructions precisely and accept constructive feedback. High emotional intelligence and professionalism. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong written and verbal communication skills. Preferred Qualifications: QuickBooks and basic bookkeeping experience. Intermediate to high level of knowledge of Microsoft Excel Previous administrative, office support, or customer service experience. Familiarity with healthcare or medical office operations.
