The Administrative Assistant will be responsible for supporting daily operations by managing job entry, compliance documentation, sales team coordination, and customer communications. This position ensures accurate recordkeeping, timely processing of documents, and professional handling of phone and email correspondence. Key Responsibilities: Job & Change Order Entry:
Enter new jobs and change orders into the system accurately and promptly, maintaining up-to-date records. Review job entries from other locations for accuracy. Subcontractor Payments:
Input subcontractor payment details into the system, ensuring timely and accurate processing. Project Compliance:
Prepare, submit, and process bonds, certificates of insurance, certified payrolls, and closeout documents to meet contractual and regulatory requirements. Documentation Management:
Obtain necessary customer documentation such as tax-exempt certificates and private utility letters. Invoicing & Billing:
Prepare and distribute invoices and payment applications accurately and on schedule. Reporting:
Maintain accurate backlog and underbilling reports, coordinating with relevant teams to ensure data integrity. Mail & Correspondence:
Retrieve, sort, and route incoming mail; respond to general correspondence in a timely manner. Customer Service:
Answer and direct phone calls, providing professional assistance to customers and partners. Notary Services:
Serve as a commissioned Notary Public, verifying signatures and acknowledgments as needed. Team Support:
Assist colleagues with various administrative processes and projects as required
Qualifications: All roles are required to be on site at their assigned location daily to perform their role Able to remain seated for extended periods of time while working at a desk or computer Frequent use of hands for typing, data entry, and operating office equipment Capability to lift and carry up to 20 pounds (e.g., files, office supplies, or small equipment) Ability to bend, stoop, or reach to retrieve or organize office materials Occasionally walking between office spaces, attending meetings, or moving around the office environment Must be able to read documents and use a computer screen Occasional need to stand or move for extended periods during meetings or other activities Ability to handle moderate noise levels in an office environment High school diploma or GED At least two years prior professional office experience Proficiency in Microsoft Office Suite Excellent attention to detail and organizational skills Strong verbal and written communication abilities Ability to work independently and manage multiple tasks in a deadline-driven environment
