Job Summary
We are seeking a highly organized and detail-oriented Development Project Administrator to provide crucial support to our real estate development team. This role will be instrumental in the successful execution of our projects by managing key administrative functions, coordinating with internal and external partners, and ensuring project documentation and municipal processes are meticulously maintained. The ideal candidate is proactive, a strong communicator, and capable of managing multiple priorities in a dynamic environment.
Key Responsibilities
Project & Document Administration:
Assist in the day-to-day coordination of project teams, including consultants, vendors, and contractors.
Coordinate and process permits and applications with various municipal and governmental agencies.
Coordinate the scheduling of project meetings, record and distribute meeting minutes, and track deliverables to ensure timely follow-up.
Assist with the collection, organization, and maintenance of all project-related documentation, including contracts, permits, reports, and due diligence materials.
Manage a systematic filing system for all project records and company documents, ensuring easy accessibility and accuracy.
Assist with the preparation and submission of project-related paperwork and proposals.
Financial & Contractual Support:
Assist with the tracking of project budgets and expenses.
Process and track vendor invoices and payments, and assist with expense reports for team members.
Support the drafting and editing of contracts and agreements with consultants and vendors.
Communication & General Administration:
Serve as a central point of contact, directing incoming calls and emails to the appropriate team members.
Maintain and manage the team's calendars and project schedules, ensuring all deadlines and appointments are met.
Assist with the development and coordination of marketing materials and lease-up plans by liaising with internal and third-party consultants.
Perform general administrative duties such as data entry, document scanning, and ordering office supplies.
Qualifications
Bachelor's degree is required.
Previous administrative experience, preferably within the real estate development or construction industry.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent organizational, time management, and multitasking abilities.
Strong verbal and written communication skills.
High level of attention to detail and a commitment to accuracy.
Ability to work independently and as part of a team.
A proactive and resourceful approach to problem-solving.
