POSITION TITLE: Administrative Assistant DEPARTMENT: IT LOCATION: Longview, WA (On-site) REPORTS TO: IT Director FLSA STATUS: Nonexempt, full time WAGE RANGE: $29.05 - $33.40 per hour DOE Review Date: August 28, 2025 ***If you are an American Indian/Alaska Native and/or a Veteran and would like this to be considered preference in hiring, please upload documentation with your resume and cover letter. Acceptable documentation includes Tribal Enrollment card, a letter from your Tribe stating your enrollment, or BIA 4432 and/or DD214.*** Position Summary: Contributes to the efficient daily operation of the IT Department by performing a variety of secretarial and administrative duties. Maintains professionalism in all interactions with internal and external customers. Honors and represents the mission, vision, and values of CIT and the IT department.

Essential Duties & Responsibilities: Establishes and maintains an effective filing and retrieval system of departmental communication and information in accordance with federal regulations and Tribal policies and procedures. Greets internal and external customers and visitors; determines nature of business, answers questions, and directs to appropriate personnel. Answers incoming telephone calls and emails, determines purpose of contact, and forwards to appropriate personnel, ensuring professional etiquette. Processes help desk requests and reassigns to appropriate personnel. Maintains standards of procedure (SOP); ensures all submitted documents are accurate, complete, and in compliance with established policies and procedures. Coordinates maintenance, purchases, and troubleshooting for company phone system and cellular phone account; communicates with vendors as needed. Maintains DID and directory lists; creates IT and other related forms. Orders and maintains inventory of IT-related equipment and supplies. Coordinates department meetings and trainings for Adobe and Avaya Cloud office phone system. Processes purchase orders, expense and receipt compilations, and invoice reconciliations. Establishes, maintains, and updates files, databases, records, and other documents. Attends meetings and takes minutes as requested. Edits and reviews all correspondence and documents for correct grammar, punctuation, and spelling. Maintains and operates office machines, equipment, and computers; performs or coordinates general maintenance and repair. Photocopies, collates, distributes, and files documents. Receives, sorts, logs, and routes mail. Transmits outgoing faxes, and retrieves, logs, and distributes incoming faxes. Provides excellent customer service for internal and external customers of the operations. Maintains strict confidentiality and presents a positive, professional demeanor and image at all times. Contributes to a team effort and accomplishes related results as required. Performs other duties as assigned.

Knowledge, Skills, and Abilities: Knowledge of traditional form of government and tribal customs and traditions. Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic. Knowledge of modern office functions, procedures, and equipment. Knowledge of records management and basic accounting procedures. Skill in operating various word-processing, spreadsheets and database software programs. Skill in treating internal and external customers with tact, courtesy, and respect. Ability to maintain confidentiality. Ability to interact and maintain good working relationships with individuals of varying social and cultural backgrounds. Ability to communicate efficiently and effectively both verbally and in writing. Ability to handle multiple tasks and meet deadlines. Ability to work independently with minimal supervision.

Minimum Qualifications: High School Diploma/GED. Three years related administrative experience. A combination of relevant education and related work experience may be considered. Valid driver’s license is required when driving vehicles for work-related purposes. Must be able to successfully pass a background screening / investigation according to the established requirements below.

Tribal preference in accordance with Cowlitz Indian Tribe Code and CIT Employee Policies and Procedures Handbook shall apply to all positions. All positions are required to adhere to CIT’s established safety policies regarding vaccine requirements and personal protective equipment (PPE).

Background Investigation Requirements: Pre-employment drug screen. Reference checks, education and employment verification. Federal, state, and/or tribal criminal history and sanction checks.

Physical Demands: While performing the duties of this job, the employee occasionally is required to stand and walk; stoop, kneel, or crouch. The employee may be required to sit for extended periods of time. The employee regularly is required to use hands to finger, handle, or feel; talk or hear; and reach with hands and arms. The employee may occasionally be required to lift and/or carry up to 20 pounds. Specific vision abilities required by this job include close vision and clarity of vision at long distance.

Work Environment: Work is generally performed in an indoor office setting with a moderate noise level. Exposure to dust or allergens may occur. Occasional travel will be required for training, meetings, conferences, presentations, and other events. Tight time constraints and multiple demands are common.
