Barrington Golf Club is home to an 18-hole Jack Nicklaus golf course, a fine dining restaurant, and an event venue. Located in Aurora, Ohio, the facility is seeking an experienced Event Coordinator to plan and organize all aspects of the facility’s special events, including meetings, weddings, restaurant events, and golf tournaments. The Event Coordinator will plan and coordinate food and beverage services for all special events, meet and communicate with customers throughout the planning process, and plan and organize all details for guest events in collaboration with the Barrington staff. Additionally, the Event Coordinator will be on-site to oversee the event's execution. All while maintaining and exceeding company standards of service and guest satisfaction.

Key Role Requirements:

Provides tours of the Club and suggests enhancements for planned events.

Creates and maintains a current Special Events and Catering Menu.

Builds relationships with Members and guests to promote banquet and event services at the Club. Provides tours and offers suggestions to promote the club’s facilities for private events.

Collaborates with members and clients to plan luncheons, meetings, wedding receptions, golf outings, dinners, children's parties, and other social events, gathering the necessary information for guest planning.

Collaborates with the Executive Chef to determine selling prices, menus, and other event details.

Responsible for printing menus, place cards, and signage, securing decorations, entertainment, and other special requests; confirming vendor fees and delivery times for the Club’s social events.

Maintains current, past, and potential event files; schedules calls or visits to assess the ongoing needs of prospective clients for catering and events.

Creates and distributes a detailed Banquet Event Order for each social and private event. Includes all details, such as menu and beverage requirements, timelines, specific setup requirements, and other elements relevant to the event.

Completes diagrams for rooms to banquet item placement, and related event detail.

Coordinates with Service and Culinary teams to ensure all event details are reviewed and accounted for.

Manages and reviews banquet billing and arranges prompt payment for events.

Manages the Club's master schedule of events and communicates it to all departments.

Assist members and event hosts with hiring and coordinating outside vendors for event elements such as entertainment, linens, florals, and audiovisual.

Build and maintain positive relationships with members, event hosts, internal partners, and vendors. Addresses Member and Guest inquiries, questions, concerns, and complaints.

Partner with vendors during planning and execution.

Provide on-site support for setup, tear-down, event flow, and registration.

Creates new and strengthens existing Club events for an engaging schedule.

Coordinates promotion of Club events through in-house marketing.

Understands the Club's website and develops event materials.

Attains a high level of professional presentation, including attire, attitude, judgment, attention to detail, and discretion.

Assist in all areas of food and beverage when needed.

Performs special projects as assigned by the General Manager and Clubhouse Manager.

Qualifications

Three to five years’ experience in a hospitality/catering and event environment, responsible for planning and executing sophisticated events.

Previous experience at a private club in the Catering/Events team.

Bachelor's degree in Hospitality/Event Planning preferred.

Experience and interest in managing wedding events.

Knowledge of the logistics involved in planning and executing complex events.

Proven track record of spearheading new projects or assigned responsibilities on time and within budget with minimal supervision.

Demonstrated ability to communicate effectively, including proficiency in clear, concise, and compelling written and verbal communication skills, as well as listening and proofreading.

Excellent administrative, telephone, organizational, and interpersonal skills, with a strong working knowledge of computer software, including Microsoft Office, Adobe Acrobat, and Canva.

Able to flex work schedule each week to include evenings, weekends, and holidays as per the event calendar.

Experience with Jonas Operating System preferred.

Salary:

$70,000 annually
