We are looking for a Receptionist to greet visitors and answer general questions regarding TELACU Residential Management, Inc services.
Job Summary
Under general supervision, answers all incoming calls on the TELACU Residential Management (TRM) switchboard and greets visitors. The Receptionist forwards calls to appropriate staff, notifies staff of visitors/appointments and answers general questions regarding senior housing, etc. Provides general clerical support to all corporate staff members.
Essential Job Duties
- Answers phones in a professional manner, and routing calls as necessary.
- Provide excellent customer service.
- Greet clients and visitors with a positive, helpful attitude.
- Assists clients in finding their way around the office.
- Announcing clients as necessary.
- Assists with a variety of administrative tasks including copying, faxing, etc.
- Handles all outgoing mail. Includes inter-office mail going to TELACU Industries and FedEx packages being sent out.
- Sorts and distributes incoming mail to departments and performs general clerical tasks. Includes routing certain documents to multiple team members.
- Receives and tracks applications for housing.
- Reviews applications to identify if the applicant meets the eligibility requirements.
- Provides information on available properties.
- Preparing meeting and training rooms.
- Organize and prepare meetings with various departments, external parties, and contacts.
- Compose business correspondence for the President and perform other duties as assigned.
- Attends staff, departmental, and required meetings.
- Assisting colleagues with administrative tasks.
- Scheduling appointments.
- Mails necessary documents and/or applications to properties.
- Types and prints labels as needed.
- Organizes and keeps inventory of supplies in both TRM storage rooms.
- Submits supply orders to office manager for review and approval.
- Maintains kitchen stocked and orders supplies as needed.
- High school diploma or GED equivalent required.
- Prior experience as a receptionist or in a related field.
- Must demonstrate the ability to handle multiple tasks/projects, set priorities, and be a problem solver.
- Excellent written and verbal communication skills.
- Good time management skills.
- Experience with administrative and clerical procedures.
- Able to contribute positively as part of a team, helping out with various tasks as required.
- Must be able to work evenings or weekends as needed.
- Must have great initiative and ability to follow-through on all tasks.
- Must be bilingual and fluent in English/Spanish (written and oral)
Must have foundational computer skills including Microsoft Office Suite (Outlook email and calendaring) and the Internet.
Physical Requirements
- Constantly (6-8+ hours per day)- Sitting, using hands to finger, handle, or feel (computer operation)
- Occasionally (up to 3 hours per day)- Sitting, Walking, Stooping/Bending, reaching with hands and arms, Lifting up to 20 lbs.
Position may require occasional exposure to fumes or airborne particles, vibration and loud noise levels. Will be exposed to varying weather conditions, soil, pollen, grass and plant materials and fertilizer while working; will be exposed to cleaning solutions of home strength; may be exposed to industrial strength solutions for pest control, paints or solvents. Hazards: Occasionally exposed to biohazards such as blood borne pathogens, sewage, building waste.
