JOB DUTIES AND RESPONSIBILITIES
The Sales Coordinator is responsible for managing all aspects of group room blocks from the contract stage through departure. This role serves as the primary liaison between the sales team, reservations, front office, and clients to ensure accurate booking details, rooming lists, and special requests are handled seamlessly. The coordinator is also responsible for billing accuracy and timely collection of group-related revenue.
This position is typically Monday through Friday. Based upon group needs, evening and weekend shifts may be required. This position is based in an office setting within the hotel, with frequent interaction with guests, planners, and staff across multiple departments.

- Receives and responds to requests for information and inquiries by responding directly to the customer or routing calls to the appropriate team member
- Prepares and distributes group resumes and pertinent information to all operational departments at the direction of the Director of Sales or GM
- Ensures all documents are completed accurately and on time and maintains sales records and filing system
- Administers group and meeting/banquet events including greeting all groups, creating and placing welcome amenities in rooms, finalizing items with the group at check in/out
- Follows up with past clients to ensure guest satisfaction
- Coordinates with customers on due dates for rooming lists, cut off dates, BEOs, contracts, payments etc. to ensure that all deadlines are met
- Details banquet event orders and group block resumes; and distributes to staff
- Creates and maintains group blocks and catering/banquet events in the property PMS systems
- Conducts inspections of guest and meeting rooms, banquet facilities to ensure they meet customer expectations
- Works client-related special events
- Perform various other duties as assigned to meet business objectives
- Act as the primary contact for all group room block details, ensuring accurate reservations entry, updates, and modifications.
- Coordinate with clients, event planners, and internal hotel departments to confirm rooming lists, VIPs, arrival/departure patterns, and special requirements.
- Monitor group pickup, track room block performance, and communicate changes to the sales and revenue teams.
- Ensure compliance with contract terms, cut-off dates, and hotel policies.
- Responsible for accurate billing, timely invoicing, and collection of group room revenue, resolving any discrepancies with clients and the accounting department.
- Provide exceptional customer service to enhance guest satisfaction and repeat business.
- Minimum of High School education, post-high school education preferred
- Minimum of one (1) year in hotel or conference Catering/Sales Assistant role
- Understands cross team functions and ability to manage processes
- Strong project management skills
- Strong problem-solving ability, including metrics-driven and strategic thinking
- Work effectively in a fast-paced environment and consistently demonstrate a high level of organizational skills
- Ability to communicate effectively verbally and in writing
