Position Summary
We are seeking a highly motivated, detail-oriented Sales Support Specialist to join our growing team in downtown Tampa. In this critical role, you will engage with a select subset of accounts, provide essential support to our sales team, and ensure that all sales activities run smoothly and efficiently. Working closely with marketing, finance, and operations, you will oversee sales documentation, update CRM data, facilitate client communication, handle quoting and contract renewals, and assist throughout the full sales cycle.
This position combines operational coordination across departments and relationship-building with key account stakeholders, as well as proactive sales support such as quote preparation and internal campaign management. The ideal candidate is a self-starter with exceptional organizational and communication skills, a positive and energetic demeanor, and a commitment to optimizing processes to drive both individual account success and overall company growth.
Key Responsibilities
- Provide day-to-day administrative and operational support to the sales team
- Manage and maintain accurate CRM data (e.g., Salesforce, HubSpot, Microsoft Dynamics, QuickBooks, ConnectWise & Excel)
- Interact with product & service vendor representatives on a regular basis
- Assist with proposal creation, quotes, contracts, and RFP responses
- Prepare and manage client invoices and contract renewals
- Generate and maintain sales quotes, ensuring timely delivery and accuracy
- Coordinate meetings, demos, and follow-ups with clients and internal stakeholders
- Monitor and report on pipeline status and sales performance metrics
- Serve as a liaison between Sales, Marketing, Finance, and Service Delivery teams
- Maintain sales collateral, playbooks, and process documentation
- Ensure smooth MQL to SQL handoffs and assist in tracking conversion metrics

Qualifications
- Experience: 3-5 years of experience in sales account administration & sales support within the IT services, technology, or enterprise solutions sector.
- Proven track record of managing client relationships and supporting sales teams, familiarity with handling quotes, invoicing, contract renewals, and coordinating operational workflows.
- Exceptional organizational and time-management skills, with a demonstrated ability to prioritize tasks and meet deadlines without clock-watching.
- Excellent verbal and written communication skills, capable of engaging stakeholders at all levels with clarity and professionalism.
- Strong analytical and problem-solving abilities, with a detail-oriented mindset to ensure accuracy in quotes, campaigns, and operational tasks.
