Job Description

Summary:

The Faculty Affairs Coordinator manages the School of Communication’s (SOC) faculty actions involving part-time (adjunct and visiting scholars) and full-time appointments, reappointments, promotions, leaves, searches and awards. The coordinator produces key academic analyses and management reports and manages other administrative matters for SOC’s Associate Dean for Academic Affairs and Associate Dean for Faculty Affairs. The incumbent is responsible for maintenance and updating of master faculty databases, directories and the SOC faculty actions calendar. This position also serves as SOC’s liaison to the Office of the Dean of Faculty, the Office of Human Resources, Payroll, and the Office of International Student and Scholar Services. The position helps the Dean’s Office ensure faculty compliance with AU and SOC policies and regulations.

Essential Functions

Faculty Actions Coordinates the processing of full time, term, in-residence, postdoctoral/postgraduate research fellows, and international visiting scholar faculty actions on behalf of the Dean’s Office, School of Communication. Ensures accuracy and compliance with University regulations. Works with the SOC division directors and program directors and faculty on faculty actions, leaves, recruitment and rank and tenure matters. Responsible for maintaining faculty records and preparing full-time faculty stipend, supplemental salary, and adjunct payroll actions. Drafts Dean’s memos for faculty administrative appointment agreements. Faculty Recruitment and Hiring Coordinates faculty searches and provides guidance and direction to division directors and search committees on faculty recruitment procedures, including advertising, affirmative action compliance and document retention, to ensure proper procedures are followed by all participants. Communicates with applicants and search committee members throughout the search process. Provides administrative support for searches as needed (e.g., makes arrangements for candidate travel and lodging, meals, room reservations; develops and manages candidate itineraries). Reviews offer letters, contracts and new appointment files for accuracy and completeness. Processes hiring actions. Academic Affairs Administrative Support Manages administrative functions under the guidance of the Associate Dean to support academic affairs activities. Creates and implements a SOC master schedule for faculty actions during the academic year. Functions as a School resource on University Faculty Regulations, as well as School and division processes. Records minutes at SOC faculty meetings and manages faculty voting process. Reporting and Data Management Records minutes at SOC faculty meetings and manages faculty voting process. Maintains and updates master full-time faculty contact databases, listservs and faculty directories. Updates faculty workload report and tracks and analyzes faculty externally funded allowable research effort and course buyouts. Provides annual and other (e.g., course load) reports to the Dean and the Associate & Assistant Deans as required for internal review processes and other activities. Other Duties and Service as Assigned Support the School’s strategic priorities.

Position Type/Expected Hours Of Work

Full-Time. 35 hours per week. Some occasional evening and weekend work may be required.

Salary Range

$28-$30 per hour.

Required Education And Experience

Bachelor's degree. 1-3 years of relevant experience. Excellent interpersonal and written communication skills. Strong organizational skills with proven ability to multi-task and work independently to complete tasks in a dynamic environment. Demonstrated ability to successfully work as a member of a team in a community that values and actively supports diversity and inclusion. Good judgement and discretion with sensitive and confidential matters. Advanced computer proficiency required, including knowledge of building and manipulating spreadsheets in Excel, creating and editing presentations using PowerPoint, and the ability to conduct Internet research. Must be able to take initiative, prioritize, and complete work with minimal supervision in a fast-paced environment. Knowledge of higher education policies regarding faculty compensation, collective bargaining agreements.

Preferred Education And Experience

2-4 years of relevant experience. Research administration a bonus.
