A Brief Overview Responsible for inventory control, procurement and management of inventory. Builds relationships with vendors and other organizations to obtain supplies in appropriate quantities at the best possible price. Maintains records and dynamically adjusts par values as appropriate. Performs a variety of reporting duties to ensure appropriate supply utilization. Work closely with Value Analysis/Purchasing to improve department supply performance. Ensures accuracy of all patient supply charge items.
Essential Functions Orders and maintains inventory supplies •Adjusts quantities based on minimums or usage requirements utilizing appropriate supply chain management techniques •Effectively communicates with assigned department/area to provide for supply needs .Reviews orders for completeness, ensuring order acceptance, backorders and appropriate pricing •Allocates appropriate space and organizes storage of supplies •Kitchen & Cafeteria: Organize storerooms, coolers, and freezers to be user friendly for all Food Service staff. Apply First in First out methodology in all food storage locations •Create new PAR Supply rooms as needed by the organization •Maintain current PAR Supply Room and adjust par quantities as indicated by data •Processes all department requisitions and ensures all documentation is complete. Central Supply: Verifies all stock items issued to requisitioning departments are accurate. All adjustments are completed on a timely basis, (i.e. ASAP), to maintain an accurate inventory with an annual variance of no more than 0.5% •Reviews inventory levels to determine appropriateness of inventory items, item attributes, (reorder points/reorder quantities), in order to maintain high service levels and minimize stock outs. •Verifies the accuracy of the inventory receiving process. Reviews MMIS to analyze and make necessary adjustments to receipt process errors. •Accurately completes all patient supply charges on a case by case basis •Kitchen & Cafeteria: Orders food and disposable supplies for all floor stock and clinic locations. •Procures requested items for Inventory Control Clerk for patient floor stock needs. Communicates expected delivery dates and outages with Inventory Control Clerk. •Reviews inventory levels to determine appropriateness of inventory items, item attributes, (reorder points/reorder quantities), in order to maintain high service levels and minimize stock outs. •Verifies the accuracy of the inventory receiving process. •Works with Food Services Manager and Administrative Assistant to ensure proper billing to all areas as appropriate Provides daily work direction and guidance to appropriate department employees. •Identifies opportunities for improvement and make recommendations •Leads the day-to-day operations of this team to ensure all specified tasks/functions are accomplished •Responsible for reviewing work queues and emails to ensure an outstanding patient experience and that they are handled in a timely and efficient manner. •Review of calls to ensure an outstanding customer service experience, timely handling and appropriate policies and processes were followed. •Assists Manager to achieve desired departmental outcomes and assuring performance at or above the established standards: •Assists with the development and implementation of goals, policies, and procedures. •Sets and monitors productivity for each staff member Works collaboratively with VA/Purchasing and Supply Chain •Kitchen & Cafeteria: Fulfills department level requisitions for staff lounges and communicates PO fulfilment back to Materials Management •Communicates with the Supply Chain and Value Analysis team regarding critical supply item shortages, changes in products, deleted products and pricing updates. •Maintains up to date shortage/backorder listing for CS department staff and MM management team. •Works with VA to identify suitable alternatives for evaluation by MM management team •Provides supply updates on a routine basis and communicates anticipated shortage timelines •Ensures all new products are set up in the MMIS and inventory. •Collaborates with VA/Purchasing to source appropriate product subs. •Supports all product conversion efforts. Must be at least 18 years of age. Required and High School Diploma or GED Required Experience Qualifications
Minimum 2 purchasing/inventory control required, preferably in a healthcare environment. Required and Knowledge of medical terms or supplies Preferred Skills and Abilities
Experience with the supply process and distribution phases of inventory management in a hospital setting. Knowledge of computerized inventory management and contract compliance procedures. Analytical and negotiating skills Mathematical skills necessary for algebraic conversions, addition, subtraction, multiplication and division. Verbal and written communication skills sufficient/necessary to receive and deliver information accurately among Lab and MM staff and others. Experience with typing keyboard/computer. Ability to prioritize time and tasks according to the needs of patients and the department with minimum supervision and direction. Licenses and Certifications
Food Handlers Card Current and valid Food Handlers Certification required within six months of hire (kitchen & cafeteria only). within 180 Days Required and SAFE Serve Certification (Kitchen & Cafeteria only) Upon Hire Preferred
