Job Summary: The Payroll Specialist is responsible for weekly & bi-weekly payroll for all unions and semi-monthly salary payroll. This position has the responsibility to record and monitor employee time and payroll data. Ensure that the timekeeping system calculates proper pay rates and hours per union contract. Update and monitor the payroll system to ensure all rates, and all employee withholdings are accurate. Responsible for all aspects of payroll for the division. Also assists with other HR functions as needed. Role and Responsibilities Prepare and process weekly payroll for dockworkers union, bi-weekly payroll for approximately 275 union employees and payroll semi-monthly for approximately 110 salaried employees using Kronos and UKG software. Communicate completed payroll information to Finance for funding and accounting purposes. Review entries and/or set up each employee in all payroll systems: Kronos & UKG Pro Weekly run through of all hourly timecards to ensure being paid according to contract. Review Kronos download information for completeness and accuracy. Work with department supervisors to resolve issues with employee timecards. Track and set up all garnishments and other special payroll deductions. Track paid time off balances. Prepare/distribute detailed payroll reports including union dues, pension contributions, HSA contributions, etc. Administers 401(k) retirement plan and ensures compliance with ERISA. Maintain personnel and medical files along with a system set up for new recruits. Calculate the attendance and annual vacation eligibility for union employees. Assist with open enrollment and qualifying event changes. Support the annual 401k audit and assist Accounting with all other audits that involve payroll and HR information. Prepare and process monthly union incentive, and quarterly safety bonuses. Perform other related work as required. Qualifications and Education Requirements High school diploma or equivalent 5-7 years of payroll processing experience Preferred Skills Experience with automated Hours and Earnings gathering software (Kronos) and automated Payroll software, specifically UKG.
