Summary

Our Deep Blue Receptionist serves as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role is responsible for managing the front desk, greeting guests, handling incoming calls, and performing various office tasks to ensure smooth operations.

Responsibilities

Greet and welcome visitors and vendors professionally.

Answer phone calls and respond to inquiries courteously and efficiently.

Manage conference room calendars including setting up/clean-up

Maintain a tidy, stocked, and organized reception, conference, & break room areas.

Maintain security by following procedures and controlling access (e.g., issuing visitor badges).

Handle incoming and outgoing mail and packages.

Order and manage office supplies, ensuring adequate stock levels are maintained.

Support other office staff with various tasks as required.

Ensure copiers/printers are stocked daily.

Assist with event planning as needed.

Provide administrative support as requested (expensify, stuffing checks, etc.)

Perform other duties as assigned by the supervisor.

Qualifications

  • High School Diploma or GED
  • 1+ years of total working experience
  • Must have a beginner-level understanding of Microsoft Office Suite (Outlook, Excel, Word, PPT)
  • Excellent organizational skills, with the ability to prioritize and manage multiple tasks.
  • Ability to successfully manage multiple tasks and meet short deadlines.
  • Adapts well to changes in responsibilities and workloads.
  • Good problem-solving and time-management skills.
  • Ability to communicate verbally and in writing and work effectively in a team-oriented environment.
  • Comfortable in a dynamic, start-up environment.
