The Executive Administrative Assistant will provide high-level administrative support to the executive team. This role requires excellent communication skills, keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a trusted professional who can handle confidential information, anticipate needs, and ensure seamless daily operations for our leadership team.

Key Responsibilities:

  • Provide comprehensive administrative support to multiple executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare internal and external correspondence, presentations, and reports.
  • Serve as the first point of contact for internal and external stakeholders on behalf of the executive team.
  • Organize and prepare for meetings, including gathering documents and taking meeting minutes as needed.
  • Assist with project tracking, status updates, and follow-up on deliverables.
  • Handle confidential and sensitive information with integrity and discretion.
  • Support the planning and coordination of company events, executive off-sites, and team meetings.
  • Maintain filing systems and office organization for efficiency.
  • Assist with invoice processing, expense reports, and purchasing requests related to the executive office.
  • Collaborate with departments across the company to streamline communication and workflow.

Qualifications:

  • 3+ years of experience as an Administrative Assistant supporting senior leadership.
  • Strong organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with calendar and travel management tools.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a dynamic environment.
  • High level of professionalism and confidentiality.
  • Experience in logistics, fuel distribution, or related industries is a plus, but not required.
