About the Role: The Executive Business Assistant is a self-driven professional who supports the General Manager both strategically and operationally. This role involves managing the GM’s time, coordinating travel and meetings, handling communications, and acting as a key point of contact—all with discretion. Additionally, the role includes overseeing office operations, event coordination, and supporting HR functions. Success requires strong organization, foresight, and a focus on continuous improvement in a tech-driven, people-first environment.
Key Responsibilities:
Executive & Leadership Support (50%)
- Serve as strategic partner and gatekeeper to the General Manager: prioritize and manage calendar and inbound requests, while providing high-level administrative support to the broader leadership team as needed.
- Coordinate end-to-end domestic and international travel: craft itineraries, manage accommodations and logistics, and reconcile expense reports, continuously identifying cost and time efficiencies.
- Design, prepare, and edit executive communications and presentation materials: draft emails, memos, and PowerPoint decks that mirror the GM’s voice, ensuring brand consistency and clarity.
- Own the full meeting lifecycle: Set agendas, distribute pre-reads, capture succinct minutes, and track follow-through on action items for leadership, board, and cross-functional forums.
- Act as the primary liaison to internal and external stakeholders. Screen inquiries, safeguard sensitive HR/financial information, and orchestrate VIP visits
- Proactively spot roadblocks and drive process improvements—implement tools and automations that streamline workflows, elevate efficiency, and keep critical projects moving forward.
Office & People Operations (50%)
- Provide administrative talent acquisition support to HR
- Coordinate company and team events on- and off-site.
- Greet and assist guests, manage incoming calls, and handle general office correspondence.
- Coordinate minor facility needs and office maintenance with vendors and service partners.
- Maintain professional appearance of common areas and meeting spaces.
Qualifications:
- Bachelor’s Degree in relevant field of study. Business degree preferred.
- Ability to manage multiple priorities and deadlines with efficiency and calm.
- Strong organizational skills with attention to detail and follow-through.
- Skilled at connecting information across teams and projects for alignment.
- Analytical and data-savvy; able to clearly organize and present information with use of tools including PowerPoint and Excel.
- Exercises discretion and handles confidential information with care.
- Comfortable working through ambiguity and shifting priorities.
- Experience using an expense management software, preferably Concur.
