We are seeking a detail-oriented and highly organized Traffic Coordinator Ocean Carrier Logistics Coordinator to join our growing logistics and shipping operations team. This position plays a critical role in overseeing the documentation, compliance, and coordination of cargo shipments via ocean freight. The ideal candidate has strong knowledge of U.S. export regulations, international logistics, and customer service in a fast-paced environment.

Key Responsibilities:

Shipping Documentation & Compliance

  • Prepare and review Bills of Lading to ensure accuracy and alignment with all applicable regulations.
  • Distribute finalized shipping documents to internal teams, clients, and authorities.
  • Generate and file Electronic Export Information (EEI) through the Automated Export System (AES) for relevant shipments.
  • Ensure all cargo complies with destination country import regulations and U.S. export laws, including EPA and DOT standards when applicable.

Cargo & Vehicle Export

  • Oversee proper submission and approval of U.S. Customs documents for vehicle shipments.
  • Ensure all vehicle export filings and physical inspections are completed a minimum of 72 hours before departure.
  • Coordinate transport logistics and ensure secure handoff at export ports.

Manifest & Booking Operations

  • Compile and submit accurate cargo manifests for scheduled sailings.
  • Manage container bookings, update shipping schedules, and confirm special cargo requirements with clients.
  • Track both loose cargo and full container loads , ensuring proper handling and documentation.

Arrival and Delivery Coordination

  • Prepare and dispatch Notices of Arrival to consignees.
  • Provide all required documentation to verify successful export of shipments.
  • Coordinate cargo release and delivery details with terminals, agents, and warehouses.

Hazardous & Regulated Cargo

  • Ensure hazardous shipments meet all documentation and regulatory requirements.
  • Liaise with appropriate authorities to coordinate safe transport of such cargo.

Tariffs & Rate Application

  • Apply appropriate tariffs or contracted service rates to shipment documentation in accordance with regulatory standards.
  • Maintain awareness of current tariff structures and implement changes as necessary.

Customer & Internal Coordination

  • Deliver high-quality customer service, providing regular shipment updates and resolving inquiries.
  • Communicate clearly with internal departments (e.g., warehouse, sales, accounting) to support end-to-end shipment execution.
  • Work collaboratively with external partners such as agents, terminal staff, and port authorities to ensure efficient cargo flow.

Compliance & Ethics

  • Ensure ongoing compliance with all relevant shipping laws, regulations, and industry best practices.
  • Maintain strict confidentiality of sensitive company and customer information.
  • Promote ethical workplace behavior and professionalism at all levels.
  • Participate in internal audits to identify and correct any documentation or compliance gaps.
  • Assist in mentoring junior staff or new hires in logistics procedures and systems.
  • Stay up to date on logistics trends and regulatory changes.
  • Support the implementation of technology and process improvements to boost operational efficiency.

Qualifications:

  • 2+ years of experience in international shipping, logistics coordination, or a related field.
  • Familiarity with U.S. Customs procedures, export documentation, and AES filings.
  • Strong organizational, communication, and multitasking skills.
  • Detail-oriented with a commitment to accuracy and compliance.
  • Proficiency with logistics software, documentation systems, and standard office tools (MS Office, etc.).
  • Uphold professional conduct and represent the company with integrity.
  • Maintain a respectful and inclusive work environment.
  • Follow all safety and operational procedures.
  • Use company resources responsibly.
  • Complete all required compliance and ethics training programs.
