Administrative Associate II

Responsibilities
Create a positive and professional environment for all external and internal personnel. Provide assistance with internal and external customers with inquires, tracking and concerns. Maintain, audit, and organize records, documents, and files. All paperwork must be GDP and cGMP compliant. Prepare distribution reports and other documents if needed. Maintain accurate records of all inbound or outbound shipments. Coordinate with LSL or client’s carriers on inbound arrivals. Schedule Inbound receipts if applicable. Audit and verify inbound paperwork in accordance with the required documentation, GDP, and cGMP compliant. Prepare and process paperwork related to inbound shipments. Maintain and update database related to inbound shipments if requested. Coordinate with other LSL facilities to verify which facility will fill the request. Review client product requests and any add-on orders during the day. Coordinate information to advise client truck and anticipated departure from LSL facility. Prepare and process paperwork for outbound shipments. Audit and verify outbound paperwork in accordance with the required documentation, GDP, and cGMP compliant. Coordinate with LSL or client carriers to establish pickup times. File, scan, and update all paperwork within required time. Maintain and update database related outbound shipments if requested. Research, price, purchase, and monitor inventory of office equipment and supplies. Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing. Ability to work with minimal supervision. Other duties as assigned. Qualifications and Job Specifications
High school diploma minimum; some college coursework or a relevant degree is a plus. College degree preferred, but not required. Advance skills in Excel and office software. Strong organizational skills. Attention to detail and accuracy in data management. Must possess excellent verbal and written communication skills. Ability to adapt to fast-paced and dynamic work environment. Ability to remain at assigned workstation for extended periods of time. Candidate must have strong emphases on organization and communication. Ability to multitask daily. Must be able to work flexible hours and overtime without notice. Technical Expertise
Navigate through Quality Management System –CQ Intermediate Microsoft Office skills: Outlook, Excel, PowerPoint Ability to maintain data basis Experience with warehouse or supply chain environments Excellent verbal and written communication skills Clear and Professional diction in English Additional Employment Requirements
Must be able to successfully pass all preliminary employment requirements (i.e., background check and drug screen) Must have a valid driver’s license. Physical/Mental/Visual Demands
Work is light to medium in nature with frequent walking to perform assigned tasks. Occasional lifting of 25 lbs. is required. Working Conditions
