Senior Benefits Specialist
The Senior Benefits Specialist is responsible for administering BakerRipley's health and welfare, leave of absence & accommodations, and workers' compensation programs across a diverse, multi-site employee population. This role will ensure accurate, timely, and compliant benefits delivery while identifying opportunities for continuous improvement and employee experience enhancements. As part of the Total Rewards team, the Senior Benefits Specialist partners closely with payroll, finance, legal, and external vendors to ensure high-quality, data-driven benefit operations. The role also provides employee-facing support with compassion and clarity, helping staff navigate their benefit options and leave needs. Responsibilities: Manage day-to-day benefit operations in Paycom, including enrollments, terminations, life events, COBRA, and dependent verifications. Reconcile vendor invoices and partner with Payroll to ensure deduction accuracy. Maintain benefit eligibility configurations and perform regular data audits within Paycom. Conduct quality checks to ensure accurate employee records and benefits data integrity. Leave of Absence, Accommodations, & Workers' Compensation: Administer FMLA, ADA, STD, LTD, personal leave, and workers' comp cases from intake to return-to-work. Serve as liaison with third-party vendors and maintain detailed case documentation. Communicate leave responsibilities and processes to employees and managers in a timely, compliant manner. Maintain OSHA 300/300A logs and ensure appropriate coordination with internal safety leads.
Who currently does this? Data Analysis & Compliance: Analyze trends in benefits utilization and claims to inform strategic planning and cost-saving opportunities. Conduct benefit and leave audits to ensure compliance and data accuracy. Maintain compliance calendar and assist with ACA, ERISA, and Pay or Play reporting requirements. Support audit and regulatory data requests by compiling necessary documentation. Employee Support & Communications: Respond to employee inquiries with clarity, empathy, and professionalism. Support new hire onboarding and annual Open Enrollment activities, including materials preparation and presentations. Maintain internal communications (intranet, FAQs, benefit guides) to promote employee understanding and engagement. Vendor & Project Coordination: Serve as the primary contact for benefits vendors (medical, dental, vision, life, disability, pet insurance, & ancillary insurance programs). Collaborate with consultants and internal teams on annual renewals, system updates, and benefit enhancements. Assist with vendor RFPs, implementation of new programs, and special projects related to wellness and Total Rewards. Qualifications: Technical Skills: Advanced Excel skills required (pivot tables, lookups, complex formulas). Familiarity with reporting and predictive modeling for benefit costs and utilization is a plus. Proficiency in managing benefits data across multiple systems with attention to accuracy and compliance. Knowledge & Abilities: Strong understanding of benefits laws and regulations (HIPAA, ERISA, FMLA, COBRA, ACA, ADA). Highly organized with the ability to manage multiple projects, deadlines, and priorities independently. Strong analytical mindset with the ability to interpret data and present insights clearly. Exceptional communication and interpersonal skills with a service-oriented approach. Ability to maintain confidentiality and exercise discretion in handling sensitive employee data.
