Administrative Assistant
Key Responsibilities: Serve as the first point of contact for students, parents, staff, and visitors, providing courteous and professional assistance. Manage incoming calls, emails, and correspondence; route inquiries to the appropriate personnel. Maintain student attendance records, enrollment files, and other school-related documentation in accordance with district policies and regulations. Coordinate and schedule meetings, parent-teacher conferences, and school events. Prepare, proofread, and distribute letters, reports, newsletters, and other communications. Assist with ordering, receiving, and organizing office and classroom supplies. Support teachers and staff with administrative tasks, including photocopying, filing, and data entry. Maintain confidentiality of student and staff records at all times. Help coordinate substitute teacher assignments and staff coverage when needed. Assist with safety drills, visitor sign-ins, and adherence to school security protocols. Qualifications: High school diploma or equivalent; associate degree preferred. Minimum of 2 years of administrative or office experience (school environment a plus). Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic database systems. Strong organizational skills with the ability to prioritize and manage multiple tasks. Excellent verbal and written communication skills. Professional, friendly, and approachable demeanor. Ability to work effectively with children, parents, and staff in a fast-paced environment. Commitment to maintaining confidentiality and upholding school policies.
