Our client, a successful law firm with offices all over the country, is seeking a skilled Legal Administrative Assistant to provide exceptional support to a managing partner and another executive in a fast-paced legal environment. Location: Boston, MA Salary: $66,000 - $120,000 (depending on experience) Schedule: Hybrid (3 days in, 2 days remote) Responsibilities: Provide high-level administrative support to a managing partner and an executive, ensuring smooth operations and organization. Maintain effective communication and teamwork across departments to ensure seamless collaboration. Drafts and prepares highly sensitive and confidential documents, including memoranda, correspondence, pleadings, reports, and other legal materials. Takes initiative to ensure the accuracy and completeness of materials, billing invoices, and reports; thoroughly proofreads documents to ensure compliance with firm policies and procedures. Demonstrates strong working knowledge of Electronic Court Filing (ECF) systems and adheres to court-specific filing requirements. Accurately enters and submits attorney time records in line with firm's Time Entry Policy. Acts as a key liaison and point of contact for clients and external advisors, maintaining professional communication. Handles and prioritizes incoming communications including calls, mail, and emails. Researches and responds to client or internal inquiries as needed. Assists with business development initiatives and related project support. Maintains expertise in iManage (document management system), ensuring timely and organized filing of all client-related documents, both electronic and physical. Manages attorney calendars, including scheduling and providing timely reminders. Coordinates meetings, handling all logistics such as attendee notifications, setup, follow-up correspondence, meeting minutes, and required documentation. Prepares materials and develops presentations for meetings and internal/external use. Oversees travel arrangements and logistics for attorneys. Monitors client budgets, reviews invoices, and processes expense reports accurately and promptly. Requirements: 4 or more years of Legal Administrative Assistant experience required. Experience reporting to executives. Strong administrative skills (organization, time-management, proofreading, accuracy, detail-oriented). Proactive and strong attention to detail. Strong verbal and written communication skills. MS Word and Outlook, Excel, Power Point, InTapp (Time Entry System), Chrome River (Invoice Payment System) or similar systems preferred. High School Diploma required. Bachelor's degree preferred. Executive Assistant experience and Paralegal experience are a plus.
