Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team in Portage, Michigan. This is a Contract-to-Permanent position, offering an excellent opportunity for growth in a dynamic environment within the printing and publishing industry. The ideal candidate will provide essential administrative support, ensuring smooth day-to-day operations and exceptional customer service. This role is M-F, 7:30am-4pm, 100% onsite. Responsibilities: Manage and respond to incoming calls, directing inquiries to the appropriate departments and addressing customer concerns effectively. Perform accurate data entry tasks, maintaining organized and up-to-date records. Support daily administrative operations, including scheduling, filing, and handling correspondence. Assist with office management duties such as ordering supplies and maintaining a clean, organized workspace. Communicate with customers and employees to provide information, resolve issues, and ensure satisfaction. Prepare and proofread documents, ensuring accuracy in grammar, spelling, and formatting. Utilize Microsoft Office tools, including Word and Excel, to create reports and manage data. Collaborate with team members to meet deadlines and complete projects efficiently. Provide proactive customer service by anticipating needs and offering solutions. Occasionally visit production areas to coordinate office and production activities. Requirements: Proficiency in Microsoft Office applications, including Word and Excel. Knowledge of QuickBooks is a plus but not required. Strong organizational skills with the ability to handle multiple tasks simultaneously. Excellent written and verbal communication skills, including proper grammar and spelling. High school diploma or equivalent required. Previous experience in an administrative role, preferably in a manufacturing or production environment. Ability to work Monday through Friday with occasional overtime as needed. Physical ability to navigate office and production environments, including walking, stooping, and bending.
