Responsibilities for the Administrative Assistant:

Manage and coordinate executive calendars, schedule meetings, and arrange travel itineraries Draft and handle professional correspondence, follow-ups, meeting minutes, and agendas Prepare and organize reports, presentations, and documents for both internal and external purposes Serve as the first point of contact for guests, phone calls, and office visitors Order and maintain office supplies and equipment inventory Plan and coordinate company-wide meetings, staff gatherings, and off-site events Oversee incoming and outgoing mail, courier services, and postage accounts Maintain cleanliness and organization of shared office areas Handle local errands such as check pickups, material deliveries, and mail drops Provide logistical support for the team and assist with ad hoc administrative tasks Support expense tracking, receipt coding, and reimbursement processes Assist with light project coordination, internal research, and cross-department support

Qualifications for the Administrative Assistant:

Associate’s or bachelor’s degree preferred Minimum of 5 years’ experience in an administrative or executive support role Experience in professional services, construction, or engineering environments is a plus Proficient in Microsoft Office Suite, Google Workspace, Adobe Acrobat, DocuSign, and scheduling tools Reliable transportation is required for local errands Excellent communication, organizational, and multitasking skills Professional demeanor with the ability to manage confidential information discreetly
