Role Overview:

We are seeking a polished and highly organized Executive Assistant to support a high impact senior executive working in a regulatory and compliance-driven environment. This role requires exceptional judgment, discretion, and the ability to manage a wide range of administrative responsibilities, with a strong emphasis on high-level meeting coordination, schedule management, and communication support.

Key Responsibilities:

Meeting & Calendar Coordination •Manage the executives complex calendar, including scheduling internal and external meetings, briefings, and strategic planning sessions. •Coordinate all meeting logistics prepare agendas and materials, manage video conferencing tools, arrange meeting space, and track follow-ups. •Serve as liaison to internal teams and external stakeholders, including senior-level contacts and representatives from regulatory or industry organizations.

Document & Information Management •Draft, format, and proofread correspondence, presentations, and professional documentation related to regulatory or compliance work. •Organize and maintain files, monitor key deadlines, and ensure timely delivery of materials needed for reports, meetings, or reviews. •Support preparation of executive-level briefing books, tracking documents, and project summaries.

Communication & Stakeholder Engagement •Act as the executives primary administrative point of contact, ensuring timely and professional responses to internal and external inquiries. •Maintain a high degree of confidentiality while handling sensitive communications and information. •Track outstanding items and follow-ups from meetings, ensuring smooth information flow between departments and stakeholders.

Operational & Administrative Support •Prepare and submit expense reports, reconcile invoices, and coordinate with vendors or service providers as needed. •Maintain contact lists, scheduling trackers, and workflow tools to help keep the executives priorities aligned and on track. •Proactively identify opportunities to improve administrative efficiency and reduce scheduling or logistical conflicts.

Preferred Skills & Experience: •Minimum of 7 years of experience supporting a senior executive, preferably in a regulatory, healthcare, or compliance-intensive organization. •Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with virtual meeting tools and scheduling software. •Impeccable organization, attention to detail, and time management. •Discretion and professionalism in handling confidential matters. •Bachelor's degree preferred.
