Job Summary:

OnderLaw, a nationwide product liability and personal injury law firm based in St. Louis, is looking for a Legal Book Keeper to join our Asbestos team.

Ideal candidate would be a highly detail-oriented Bookkeeper with advanced Excel skills and experience in legal accounting. The candidate will be responsible for creating and maintaining accurate accounting spreadsheets to reconcile legal settlements, track deductions (including attorney's fees, costs, and other expenses), and assist in managing the movement of funds from trust accounts. Proficiency in QuickBooks and an understanding of trust accounting and law firm financial processes are essential.

Key Responsibilities: Settlement Accounting & Reconciliation:

Reconcile incoming settlement funds across multiple cases. Utilize advanced Excel formulas to automate and simplify the calculation of attorney's fees, client disbursements, referral fees, and advanced cost reimbursements. Prepare detailed settlement breakdowns to support client distributions and firm accounting.

Trust Accounting & Disbursements:

Maintain accurate records for client trust accounts in compliance with legal and ethical standards. Coordinate with attorneys and accounting staff to ensure timely and accurate disbursement of settlement funds from trust accounts. Track movement of funds to cut client checks, pay referral fees, and reimburse costs.

QuickBooks Management:

Review and reconcile QuickBooks data against settlement records and expense tracking systems. Maintain accurate records of firm revenue, advanced costs, expense reimbursements, medical lien payments, and client settlement distributions.

Reporting & Compliance:

Generate internal reports detailing settlement flows and financial performance. Ensure all settlement and trust accounting procedures comply with applicable banking guidelines, attorney trust account regulations, and firm policies. Maintain appropriate documentation and audit trails for all financial transactions related to settlements.

Collaboration:

Work closely with attorneys, paralegals, and the administrative team to ensure seamless financial workflows. Assist with quarterly and annual audits or reviews as needed.

Qualifications: 3+ years of bookkeeping/accounting experience, preferably in a law firm or legal services environment. Advanced Excel skills - must be comfortable creating and working with complex formulas, pivot tables, and templates to automate repetitive tasks. Proficient in QuickBooks and analysis and reconciliation of QuickBooks generated spreadsheets and reports (Online or Desktop). Strong understanding of proper accounting requirements for attorney trust and operating accounts and client settlement distribution procedures. High attention to detail and strong organizational skills. Ability to handle sensitive information with discretion. Excellent communication and interpersonal skills. Experience working with contingency fee-based legal practices is a plus.

Preferred Experience: Familiarity with case management systems (e.g., Clio, Smart Advocate, or similar). Knowledge of IOLTA account requirements and legal ethics rules governing attorney-client funds.
