DESCRIPTION OF RESPONSIBILITIES :
Assist / facilitate preparation of program documentation tailored to intended audiences. Program documentation may include briefings, executive summaries, white papers, issue papers, reports, assessments, studies, analyses, reclamas, emails, charts, graphics, spreadsheets, multimedia presentations, diagrams, surveys, metrics, and Naval messages.
Provide administrative support for the assigned Government organization, including:
Managing action items with tracker tools
Maintaining calendar schedules for appointments, events, and conference rooms
Scheduling and reserving conference rooms according to local procedures
Perform clerical duties such as gathering data, drafting, and revising responses for data calls.
Support meetings by documenting minutes, coordinating logistics, setting up VTC and audiovisual equipment, and distributing minutes.
Handle mail functions: receiving, reviewing, routing, and preparing documents for distribution with proper addressing and postage.
Support records management by organizing, filing, and retrieving documentation per regulations.
Manage emails by copying, summarizing, routing, and monitoring urgent messages within specified timeframes.
Coordinate travel arrangements in accordance with DTS, including transportation, lodging, and rental cars, and process vouchers.
Perform other duties as assigned by the supervisor.
REQUIRED DEGREE / EDUCATION / CERTIFICATION :
Master’s Degree with 10+ years of experience, or Bachelor’s Degree with 14+ years of relevant experience.
REQUIRED SKILLS AND EXPERIENCE :
Administrative support experience with Navy acquisition programs or comparable DoD agencies.
Experience with Navy Correspondence Manual.
Excellent oral and written communication skills.
Strong critical thinking skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), DON Tracker, and DTS.
Ability to work independently and collaboratively.
Willingness to learn and apply administrative concepts.
REQUIRED CITIZENSHIP AND CLEARANCE :
U.S. Citizen
Active SECRET clearance
