Softtek Government Solutions is seeking an

Executive Assistant

to join BARDA within the Department of Health and Human Services Administration for Strategic Preparedness and Response (ASPR). The ASPR is a public health preparedness and emergency response organization in the Office of the Secretary at the U.S. Department of Health and Human Services. Created under the 2006 Pandemic and All Hazards Preparedness Act, ASPR leads the nation in preventing, preparing for, and responding to public health emergencies and disasters.

The ASPR serves as the principal adviser to the HHS Secretary on public health, medical preparedness, and federal response strategies. It also manages operational responsibilities related to research and development of Medical Countermeasures (MCMs), and coordinates federal public health and medical responses to incidents. The office's mission includes advancing ASPR's goals in areas such as chemical, biological, radiological, and nuclear threats, emerging infectious diseases, pandemic influenza, emergency preparedness, response, recovery, logistics, acquisitions, grants, public health policy, and more.

This position will directly support the BARDA Director, Medical Countermeasures Program Director, and Medical Countermeasure Support Services Director in their office efforts.

This role is onsite up to 5 days a week, with minimal to no travel.

Responsibilities:

Provide meeting support for three senior leaders, including on-site coordination, reserving conference rooms, ensuring IT systems are operational, and preparing meeting materials.

Take notes during meetings, track action items, and follow up on deliverables.

Prepare senior leaders for meetings by assembling relevant materials and information.

Manage daily task tracking for senior leaders and monitor progress.

Coordinate document routing for approval and collate comments, with a general understanding of scientific content.

Organize and maintain the MCMP SharePoint site, including document management.

Monitor and adjust calendars for scheduling conflicts and changes.

Send out meeting invitations and manage scheduling logistics.

Handle multiple responsibilities efficiently in a fast-paced environment, maintaining accuracy and quality.

Adapt to changing priorities and deadlines without compromising performance.

Required Qualifications: Experience:

Managing an in-person office or supporting leadership in an office setting.

Proficiency with Microsoft Office applications for editing and revisions.

Experience with SharePoint or similar file sharing platforms.

Education:

A bachelor’s degree in science is highly preferred; however, extensive relevant experience and a proven track record are more important.
