We are seeking a Records Coordinator for our San Francisco office. The Records Coordinator is responsible for leveraging a suite of tools and systems to manage the lifecycle of physical and electronic records, including creation, maintenance and disposition. This position reports to the Firm’s Records and Information Governance Manager, is in our San Francisco office and is required to be onsite four (4) days per week. The hourly range for the position of Records Coordinator at Nossaman is approximately $28.20 to $35.89 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $55,000 and $70,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience. Key Responsibilities Manage the intake and transfer of client files in accordance with established procedures Lead disposition efforts for assigned offices in line with the firm’s Records and Information Governance policy Oversee physical records in assigned offices including conducting routine audits and maintaining the file room in accordance with established standards Respond proactively to firm-wide requests received through the department’s ticketing platform and from in-office personnel Assist in gathering department metrics in support of continuous improvement efforts Create, maintain, track, locate and organize physical and electronic records across all enterprise applications including the document management system, records management system, file shares and SharePoint Maintain strong working relationships with outside storage vendors and coordinate the deposit, retrieval, return and permanent withdrawal of closed files Maintain positive and productive relationships with all internal and external clients Engage in professional development including continuing education in the field of Records and Information Management

Experience and Qualifications High school diploma, or equivalent, is required Minimum of 3-5 years of records experience in a legal or professional services firm, including 1-2 years of experience working with electronic records Strong written and oral communication skills Proficient in Microsoft Office Suite, especially Word and Excel Previous experience with iManage, NetDocuments, or similar document management system Previous experience with IRM, FileTrail, or similar records management system Ability to organize and prioritize multiple tasks, adjust to changing priorities and demonstrate accountability for outcomes Ability to understand and recognize organization risk and escalate issues appropriately Ability to lift, handle and move boxes of up to fifty (50) pounds Ability to occasionally travel to other offices as needed The successful candidate must be proactive, technologically proficient, customer service oriented and committed to continuous development as a records and information governance professional.
