Position Summary The New Student Data Entry and Analyst is responsible for the comprehensive management, entry, and analysis of prospective student records and application materials, ensuring data integrity, quality control, and compliance throughout the admissions process. This role supports the enrollment and admissions teams by maintaining accurate records, troubleshooting data discrepancies, and providing essential data reports and insights to facilitate strategic decision-making and operational efficiency. Responsibilities: Conduct data queries and generate reports to monitor and track the admission status and transcript receipt of prospective students. Perform regular data audits and quality checks to ensure compliance with internal and external standards. Provide daily and weekly statistical reports regarding all stages of student applications and enrollment1. Maintain an organized digital filing system for all student records and application materials. Upload transcripts and other documents into the CRM system (manually and electronically). Verify transcripts and other documents for accuracy and completeness. Ensure enrollment documents and application materials are properly migrated to the document storage system (ImageNOW). Monitor and process automatic transcript uploads (e.g., Parchment), Clearinghouse updates, and troubleshoot related issues. Create and monitor applications, including MOUspecific applications. Add or delete programs, activate or deactivate terms, and ensure accurate application creation. Defer and clone applications as needed; fix changes postAD2RE and preenrollment. Edit system rules, letter templates, and manage system fields and prompts as required. Doublecheck enrollments in Jenzabar, ensuring data consistency between the CRM and student information systems. Act as a backstop for quality control, monitoring queries, error reports, and discrepancies. Communicate data issues and discrepancies to relevant stakeholders (e.g., Admissions Reps, Director of Admission) and provide solutions. Provide data support and assistance to the enrollment department and other staff members. Maintain professional communication with faculty, staff, and external partners, representing the university in all interactions1. Update data policies, procedures, forms, guidelines, and techniques as needed to reflect best practices and compliance requirements. Contribute to process improvement initiatives to enhance data integrity and operational efficiency. Perform additional datarelated duties as assigned to support the goals of the admissions and enrollment teams. Perform other jobrelated duties as assigned. Qualifications: Associate’s degree in a relevant field required. At least one year of office support, customer service, word processing, and data entry experience required. Experience with Microsoft Office Suite and basic database systems required. Experience with student information systems (e.g., Jenzabar), CRM platforms (e.g.,Slate), and document management systems (e.g., ImageNOW) preferred. Strong analytical skills and attention to detail. Ability to solve practical problems, analyze data, and communicate findings effectively1. Excellent organizational, communication, and customer service skills. Ability to work independently and collaboratively in a fastpaced environment.
