Overall, the Associate Director supports school wide comprehensive donor relations and stewardship strategies that consistently creates a gratifying giving experience and assists in articulating the impact of philanthropy at Colorado Academy. This position reports to the Director of Advancement and manages the Events Manager. REPORTING RELATIONSHIPS Reports to: Director of Advancement Direct Reports: Events Manager Essential Functions Management Exhibits guiding behaviors that reflect Colorado Academy's values and supports the CA community, mission, and vision. Develops and manages a comprehensive, high-performing donor stewardship and donor relations program in accordance with industry best practices that consistently promotes interactions with and recognition of donors at all levels. Devises and orchestrates collateral, programs, and events to steward leadership, major, loyalty, lifetime, and planned gift donors. Supervises the work of the Events Manager, responsible for oversight of over fifty cross-organizational events, fundraising events and community engagement opportunities. Donor Relations and Stewardship Develops and oversees the implementation of a highly personalized donor stewardship and donor relations plan that aligns with Colorado Academy's mission and values. Manages and ensures timely and inspirational stewardship and impact reporting of endowment funds, annual funds, and major gifts including writing reports, developing, and implementing programs and working directly with donors and volunteers. Develops personalized annual stewardship plans and communications for CA's most generous donors, and simultaneously builds stewardship strategies for annual fund donors of varying gift levels. Partners with portfolio managers and school leadership to devise and deliver high-touch, quality stewardship engagement opportunities for individual donors, and to build efficiencies on internal portfolio management and strategic donor engagement strategies. Reviews donors in the stewardship cycle and suggests opportunities to advance gift conversations. In partnership with the Director of The CA Fund, oversees stewardship and communications for all annual giving donors to support retention. In Partnership with Director of Advancement, Advancement Associate, and Advancement Operations Manager: Manages annual stewardship reporting for annual giving, endowment funds, and named facilities; Drafts pledge reminders and supports in ensuring donors fulfill their commitments; Manages database tracking of awards, scholarships, named opportunities on campus; Oversees all acknowledgement letters, including the content and process. Ensures that donors to the School are thanked appropriately, professionally, and accurately according to donor wishes. Maintains and suggests updates to the criteria for special acknowledgement letters, including those from the Head of School, and based on giving levels and special volunteer roles. Updates acknowledgement letter language at minimum on an annual basis. Recommends and builds donor recognition policies, procedures, and standards, including gift agreements, naming opportunities, recognition opportunities and levels, and benefits. Conducts annual review of policies, procedures and gift agreements. Collaborates with CA's Business Office, Director of Admissions and Financial Access, along with other School partners on financial reporting, tracking spending on endowment funds to accurately report the impact of gifts, such as scholarships and faculty awards. In partnership with the Business Office, oversees gift and endowed fund agreements; supports auditing through management of acknowledgements. Partners with Operations and Facilities team to foster open and clear communication around donor engagements, including supporting event setup and breakdown, and the installation of donor recognition plaques etc. Supports Alumni engagement and communications in partnership with the Director of Alumni Relations. Helps to develop strategies to increase clarity of impact and increase visibility within the community to garner philanthropic support. Works with Advancement team to develop engagement programs through events, tours, etc. with the goal of ensuring strong relationships among constituents and between constituents and the school, education of constituents about why philanthropic support is necessary, and effective communication of the School's appreciation for and impact of contributions made by donors. Collaborates with the Director of Advancement and Chair of Development Committee to prepare stewardship efforts for the Board of Trustees and Development Committee as requested and appropriate. Understands and embraces CA's mission, philosophy, and values, and, in partnership with the Director of Advancement establishes a culture of teamwork, trust, collegiality, and accountability within the team. Strategic Initiatives Manages a select stewardship donor portfolio of high capacity donors, including but not limited to Honorary Trustees, Endowment Fund donors, Planned Giving donors and Campaign supporters, to appropriately recognize and engage some of CA's most loyal donors. In partnership with the Director of Advancement, manages the Musil Society, CA's legacy giving group, and implements annual stewardship events and creates opportunities to increase awareness of legacy giving at CA. Manages and maintains CA's Philanthropic Opportunities List, including the language and testimonials for each fundraising priority. Partners with Communications and Marketing to ensure language in the List is consistent with CA's messaging. Responsible for the execution of integrated donor stewardship and communication plans that include strategies for delivering both targeted and broad-based engagement communications to supporters. Collaborates closely with Communications and Marketing Office to ensure that donor engagement communications are seamless and aligned with School branding and messaging. As part of the Advancement Team's Stewardship Plan, creates strategic communications to various groups of constituents and highlights testimonials and donor stories to inspire supporter engagement. Works closely with Events Manager to oversee the entire CA event portfolio, with a focus on the stewardship and fundraising events. Implements annual Auction/Concert fundraiser to meet revenue and participation goals. Partners with Events Manager and fundraising committee volunteers to ensure the fundraiser is successful and engages CA's broader community. Collaborates closely with CA's senior leadership and colleagues to ensure clear and open lines of communication regarding the impact of donor gifts and to develop high-impact donor opportunities. Creates, monitors and reports on robust metrics for measuring the success of the donor relations and stewardship program. Identifies creative opportunities to engage lead donors in areas of interest-e.g., video thank you, personal tours etc. Partners with Events Manager and the Advancement Team on cultivation and stewardship events like Alchemist recognition dinner, CA Gives Day, Alumni events, and major donor programs. Performs other duties as assigned. Requirements Five years or more years of experience in fundraising or communications with a track record of stewardship and donor relations success. Alignment with and ability to articulate the mission and values of CA. A bachelor's degree in Communications, Marketing, Business or related field is required. Proven strong interpersonal and written communication skills, a collaborative spirit and ability to instill trust. Professional and courteous demeanor and the ability to work collaboratively with colleagues, and all constituents with a customer service mindset. Ability to plan and execute events and programs and measure / report their impact. Demonstrated experience in developing strategic plans and implementing these plans successfully. Experience and competency in building and sustaining positive long-term relationships. A proven track record of creativity, innovation, and high-level of organizational and problem-solving skills, and management of multiple projects simultaneously. Experience with Raiser's Edge NXT or knowledge of an equivalent CRM software is a plus. Knowledge of independent school fundraising culture is an asset and experience with secondary or higher education and moves management is preferred. Responsibilities will require working on some evenings and weekends. Although this is a good faith and reasonable estimate of the possible compensation at the time of posting, Colorado Academy reserves the right to pay more or less than the posted range.
