The HR Assistant plays a vital role in supporting the Human Resources department by delivering high-quality administrative assistance, coordinating recruitment efforts, managing employee records, and contributing to a wide range of HR functions. This position is integral to ensuring smooth and efficient HR operations.

- Support daily operations of the Human Resources (HR) department, ensuring smooth and efficient workflows
- Maintain accurate, organized, and up-to-date HR files, records, and documentation in compliance with company policies and legal requirements
- Enter and update employee data in the HRIS system ensuring accuracy and confidentiality while supporting payroll, benefits, and compliance workflows
- Respond to routine inquiries from applicants and employees regarding policies, benefits, and hiring procedures; escalate complex issues to HR Generalists or management as appropriate
- Assist with job postings, screening resumes, and scheduling interviews
- Participate in new hire onboarding and orientation to promote employee engagement and understanding of company policies
- Safeguard the confidentiality and integrity of sensitive HR information and records
- Provide general administrative and clerical support to HR staff
- Assist with payroll processing, including resolving employee inquiries, correcting processing errors, and distributing paychecks
- Contribute to the coordination and execution of employee-focused events such as benefits enrollment sessions, company-wide meetings, recognition programs, holiday celebrations, and retirement function
- Greet and register visitors in accordance with KMM's visitor policy, maintaining a welcoming and secure environment
- Answer incoming phone calls and route them appropriately to staff or departments
- Ensure the reception area remains clean, organized, and professionally presented
- Maintain key records including visitor logs and employee directories
- Perform other duties and special projects as assigned to support HR and organizational initiatives
- Education:
- Required: High school diploma or equivalent
- Preferred: Associate's or Bachelor's degree in HR or Business administration
- Experience:
- Required: 1 year in HR, administrative, or receptionist roles
- Preferred: 3+ years in HR, administrative, or receptionist roles
- Skills:
- Strong interpersonal and communication skills, both verbal and written
- Proficiency with Microsoft Office Suite and HR software systems
- Understanding of basic HR principles, employment laws, and company policies
- Ability to multitask and handle confidential information with discretion
- Strong organization skills and attention to detail
- An acceptable combination of education and experience
- Ability to remain seated or standing for extended periods
- May need to lift or move items weighing up to 20 pounds (e.g., office supplies or files)
- Frequent reaching above, at, or below shoulder level; handling documents and office equipment
- Regular use of a computer keyboard and mouse, requiring fine motor skills and finger dexterity
- Ability to read small print and view computer screens for long periods
- Capable of moving between work areas within the facility; occasional travel to other locations may be required
