Senior Administrative Assistant
CenterPoint Energy is looking for a Senior Administrative Assistant to join the Electric Distribution Operations organization located in the greater Katy/Cypress area. You will have the ability to work independently to provide project support, administrative assistance, and routine clerical services, including organizing, planning, scheduling, and tracking duties for the department. To be successful in this role you will: Handle and maintain confidential information, records, reports, and personnel files. Perform personnel actions and organizational maintenance in SAP Talent Hub Support annual budget process including data entry. Update data and/or reviews periodic reports, collecting and entering variance explanations. Track discrepancies and ensure correction. Prepare, verify, document, enter, and reconcile such items as invoices, expense accounts, OnePay purchase cards (P-Card), etc. in accordance with corporate procedures and deadlines. Acts as custodian of purchase card(s). Provide clerical support such as faxing, photocopying, and sorting/distributing mail/documents/reports. Provide back-up and/or relief for other administrative positions. Schedule, organize, and coordinate arrangements including catering for meetings, conferences, seminars, presentations, appointments, and travel. Coordinate and schedule meetings for directors and their leadership teams. Make travel arrangements, including planning itineraries, booking flight reservations, and making hotel and transportation arrangements for department personnel. Access SAP systems to process, verify, or retrieve data. Creates and updates other databases. Create and modify presentations, graphics, reports, spreadsheets, graphs, tables, charts, manuals, guides, and flow charts. Perform office administrative tasks such as tracking attendance, entering time, managing file storage/destruction, and ordering office supplies. Create and implement processes to support projects and initiatives. Compose, create, edit, and proofread correspondence and email. Create and maintain hard copy and electronic files. Take lead role in supporting company initiatives such as fund-raisers and drives for non-profits and other special projects. Be required to travel occasionally to other work locations for meetings or training. Education: Requires a high school diploma, mastery of English grammar, spelling, and punctuation, and basic mathematics (add, subtract, multiply, divide, calculate fractions, and calculate percentages). Requirements: Requires five (5) years secretarial or administrative experience requiring regular exercise of initiative, use of personal judgment and discretion without immediate supervision, attention to detail, and multi-tasking. Requires proficient knowledge of software (including word processing, spreadsheets, presentation, and e-mail) and basic knowledge of mainframe systems.
