Operations Assistant

The Operations Assistant provides administrative support and backup coverage for dispatch, OS&D, rating, billing, and/or manifesting. Critical Job Functions: Track outbound loads, update system, and communicate any delays by email to service center manager, customer service, operations, Linehaul, sales, and management before 11am. Checks pickup schedules for loads that have not left facility by 10 am, determine the reasons and escalate to Linehaul. Distributes IC paperwork or instructions to drivers (plates, IFTA, random DOT tests, etc.). Receives maintenance records from drivers and submits to safety. Sets appointments for direct deliveries/diverts when necessary. Calls responsible party for redelivery/ACR authority and enters ACR into system. Comply with all safety policies, practices, and procedures. Provides administrative support such as data entry, typing, faxing, filing, processing, imaging, making appointments, and tracing freight. Participates in proactive team efforts to achieve departmental and company goals. Presets appointments for linehaul contactors and inbound freight. Manifests all agents/interline inbound bills and outbound linehaul loads. Files exception reports from outbound loads. Works with broker in getting rates for returned shipments from non-service points. Assists in tracing freight and communicating with agents when problems arise. Monitors the condition of printers and other administrative equipment in Operations. Helps all terminals with all aspects of Roadrunner. Other duties as assigned. Job Requirements: High school diploma or general education degree (GED); or one to three months' related experience and/or training or equivalent combination of education and experience. Relies on written and verbal communication. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers and other employees of the organization. Communicates internally with terminal and corporate office staff, and externally with shippers, contractors, and customers. Specific industry or position skills. Basic personal computer skills. Preferred knowledge of AS/400, Microsoft Office, and digital picture programs. Typing, filing, and ten key skills. Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurements, volume, and distance. Certified in Hazardous Materials Handling. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions in written, oral, diagram, or schedule form. Ability to prioritize tasks. Ability to handle multiple tasks and projects simultaneously. While performing the duties of the job, the employee is regularly required to sit, stand, walk, reach/handle items, work with fingers, have color vision (ability to identify and distinguish colors) and talk and hear others in conversations via the phone or in person. The employee is occasionally asked to stoop, kneel, crouch, crawl, climb or balance and lift objects up to 25 lbs. Work Environment: The noise level is loud based on multiple printers and forklifts running outside of the door. Works in well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Might be required to occasionally work near toxic or caustic chemicals, moving mechanical parts, and/or fumes or airborne particles. Compensation:
