International financial institution seeks a bilingual Japanese team leader of General Affairs Department. Responsible for managing the administrative function for Head Office expatriates in the U.S. offices. Responsibilities include: visa and staying permit extensions, individual income tax issues, health insurance and payroll monitoring, etc. Expatriate Benefit policies & procedures are managed according to Tokyo Head Office guidelines. PRIMARY RESPONSIBILITIES include: Prepare visa application letters at the request of the Head Office. Monitor expiration dates of visa / staying permits / passports; prepare extension application in-house of through immigration attorney. Make a first judgment in expatriate's benefit issues with minimal supervision, especially in areas that are not covered by Head Office policies & procedures. Respond to correspondence from IRS or other tax agencies on behalf of expatriates; consult with outside accounting firm on tax matters; ensure that individual income tax returns are mailed in a timely fashion. Manage communication with accountants on issues related to payroll; analyze discrepancies in external accounting firm's input and, when needed, correct errors by using knowledge in taxation and group's benefit plan. Manage communication with expatriates on General Administration issues such as visa applications, payroll, tax returns, and fringe benefits in support of expatriate's experience in the US.
